ABOUT THE ROLE

This role requires someone who thrives in a structured environment but is also quick on their feet when the unexpected happens. Most days follow a steady rhythm - monitoring email inboxes, managing schedules, and progressing through projects - but things can change in an instant. Whether it is helping troubleshoot a cancelled flight, coordinating a last-minute meeting, or adjusting a travel plan at night, you will be the person trusted to stay calm and keep things moving.
Clear and timely communication is absolutely essential in this role. You will not be expected to complete every task yourself, but you are expected to respond promptly and professionally - especially when plans shift. Even a quick check-in or simple acknowledgment can make all the difference in keeping things on track and maintaining trust.

KEY RESPONSIBILITIES

  • Manage personal and professional email inboxes, including replying to vendors, financial institutions, and service providers
  • Coordinate household schedules, maintenance appointments, and errands
  • Track tasks, deadlines, and project updates across both personal and business matters
  • Book personal and business-related appointments, reservations, and travel
  • Handle personal administrative tasks including bill payments, filing, follow-ups, and basic correspondence
  • Organize and maintain shared digital folders, calendars, and to-do lists
  • Prepare simple documents, spreadsheets, or summaries as requested
  • Manage reminders and keep the owner updated on key dates and deliverables
  • Communicate with staff, vendors, contractors, and professionals on behalf of the owner
