FAMILY SERVICES SPECIALIST Location: Salina, KS, 67401 Department: Family Services Supervisor: Sr. Director of Family Services FLSA Status: Non-Exempt, Full-Time Revised: June 25, 2022 POSITION SUMMARY The Family Services Coordinator provides administrative and operational support for the YMCA's Child Care Department. This position serves as the primary administrative contact for current and prospective families, assisting with enrollment, state subsidy programs, EBT, billing support, scheduling, records management, and day-to-day office operations. The position creates an exceptional family experience while allowing center directors to focus on leading staff, supporting children, and maintaining program quality. ESSENTIAL FUNCTIONS * Serve as the first point of contact for prospective and current childcare families. * Guide families through enrollment, registration, and onboarding. * Maintain waitlists and coordinate classroom placement with center directors. * Schedule tours and respond to family inquiries. * Maintain accurate child and family records. * Prepare enrollment packets and licensing documentation. * Assist with EBT and state childcare subsidy processing. * Coordinate billing questions, payment plans, and collections support with Finance. * Track enrollment trends and vacancy reports. * Provide administrative support to all childcare centers. * Order office supplies and support departmental projects. * Deliver exceptional customer service in person, by phone, and electronically. * Demonstrate a commitment to building and protecting a top-notch team culture by fostering trust, collaboration, accountability, positivity, and a servant-leadership mindset. QUALIFICATIONS * High school diploma or equivalent required. * Two years of administrative or customer service experience preferred. * Excellent organizational and communication skills. * Strong computer proficiency including Microsoft Office. * Ability to manage multiple priorities while maintaining accuracy. * Experience with childcare administration, EBT, or state subsidy programs preferred. * Deliver exceptional customer service in person, by phone, and electronically. WORK ENVIRONMENT & PHYSICAL DEMANDS * Able to sit, stand and bend to perform appropriate tasks. * Must be able to move at an appropriate pace to respond to emergencies. * Follow all safety requirements of the Salina Family YMCA. * May be required to stand for extended periods of time. * Work in different temperature environments.
