Description The candidate shall manage the administrative functions and provide support services for the FAP team at Fort Meade, MD. Candidate performs clerical tasks such as answering phones, handling mail, operating office equipment and maintaining office supplies. Gathers, compiles, and verifies information and performs data entry. A wide degree of creativity and latitude is expected. Key Responsibilities are including but not limited to: Within 30 days of contract award Contractor employee shall become familiar with and be able to prepare, all Memorandums of Agreement (MOA), Memorandums of Understanding (MOU), Standard Operating Procedures (SOP), Information papers, policies, regulations, and laws applicable to FAP and AR 25-50. Provide on a daily, weekly, monthly, bi-monthly, quarterly, semi-annual and or annual basis. Coordinate with and or refer more complex issues to FAP staff Receive customers and answer phone calls to the FAP Center. Notate calls on the daily call log. Provide information to clients and the community regarding the types of FAP services provided, availability of services, and service requirements. Assess clients' needs providing general information; refer to FAP, ACS program staff or other appropriate resource as necessary. Documenting in Army Family Web Portal (AFWP) daily. Assist FAPM with planning for the Incident Determination Committee and Family Advocacy Committee meetings. Create, review and or revise FAP documents IAW with AR 25-50. Take committee meeting minutes and complete minutes to route to the Garrison Commander within three business days of meeting. Receive and track all incoming and outgoing FAP correspondence. Routing to appropriate program staff for action. Document work performed in the AFWP and in other formats as identified by FAPM. Data is to be entered on a daily basis. Collect, record, organize and report a variety of data IAW AR 608-1, AR 608-18 and DA Form 7419 and as identified by FAPM. Provide requested statistics to the FAPM no later than the second working day of the new month, utilizing the current ACS system. Establish, maintain, and assist other FAP team members in organizing FAP certification files. Files shall be included in mandated annual certification inspection. Assist in preparing, scheduling, coordinating, and facilitating general FAP trainings, briefings, and prevention and education classes/groups. Establish, maintain, and assist other FAP team members in organizing training records and completing purchase request order forms. Assist with coordinating, marketing and participate in segments of special events sponsored by the FAP and community outreach initiatives. Organize, monitor and track FAP supplies, completing monthly FAP supply inventory using form 2062. Provide FAP point of contact (POC) with list of needed supplies using procedures identified by and within time frames identified by FAPM. Assist in creating and editing FAP program flyers, brochures and handouts for FAP marketing as needed. Follow facility safety and security measures, complete closure checklist at end of business day daily. Deliver FAP documents to ACS director and/or DFMWR for routing and approvals. Pay rate: $21.41-26.34 Requirements Requirements: Must be a US citizen Position requires a background check An associate or bachelor’s degree preferred DoD or Army experience Outstanding Clerical Skills Demonstrated experience with customer service support Well versed in MS Office Products (Word, PowerPoint, Excel, and Outlook) Required to communicate in English verbally and in writing
