The City of Niagara and Prototype are partnering for a Fashion and Art Showcase at The Exchange Culture Hub on Saturday October 25th, 2025, and we want energetic, passionate individuals to join our team. All interested candidates must complete a Volunteer Registration Form to receive a schedule and assigned department(s). For students, the Orientation (3.5 hours) must be completed as well to successfully be accommodated with a schedule and subsequent Letter of Hours Completed. On behalf of the Volunteer Coordinator, thank you for your interest in this spectacular occasion.
Departments for Student and All other Volunteers:
1. Logistics

Responsibilities:

  • Assist with event setup, including decor, staging, and seating arrangements
  • Ensure the venue remains tidy and visually appealing throughout the event
  • Manage safe takedown of decor and equipment after the event
  • Communicate any changes or issues with the event manager promptly
  • Adhere to safety protocols for lifting and moving equipment

Qualifications:

  • Strong attention to detail
  • Physical ability to lift and move equipment safely
  • Problem-solving skills in a fast-paced environment
  • Effective communication and teamwork skills
  1. Backstage Support

Responsibilities:

  • Coordinate artists’ schedules and manage movement between dressing areas and the stage
  • Assist with managing queues for makeup and AV teams
  • Maintain an organized and quiet backstage environment
  • Communicate schedule adjustments and any issues to team members promptly

Qualifications:

  • Excellent organizational skills
  • Ability to remain calm under pressure
  • Strong communication skills
  • Capability to multitask effectively
  1. Registration

Responsibilities:

  • Check in guests and verify e-tickets efficiently
  • Troubleshoot technical issues related to ticket scanning or e-tickets
  • Manage guest flow and reduce wait times at the entrance
  • Ensure every guest feels welcomed and informed about the event

Qualifications:

  • Basic technical troubleshooting skills
  • Excellent customer service orientation
  • Friendly, professional, and approachable demeanor
  • Strong organizational abilities under time constraints
  1. Gifting Support (formerly Vendor Support)

Responsibilities:

  • Assist in grouping and assembling sponsored items into gift bags for each attendee
  • Ensure that gift bags are uniformly presented and meet quality standards
  • Maintain a clean and organized workspace during preparation
  • Report inventory issues or quality concerns to the event manager
  • Help with gift bag distribution as needed

Qualifications:

  • Ability to work efficiently under time constraints
  • Strong organizational and communication skills
  • A collaborative team player with a positive attitude

Responsibilities:

  • Guide guests throughout the venue and direct them to seating or key event areas
  • Assist with answering guest inquiries and provide directions
  • Monitor guest flow to reduce congestion in high-traffic areas
  • Ensure guest safety and comfort throughout the event

  • Friendly and approachable personality
  • Excellent communication and interpersonal skills
  • Ability to walk and stand for extended periods
  • Strong situational awareness and problem-solving skills

Responsibilities:

  • Engage with guests to promote event initiatives and gather feedback
  • Initiate and maintain positive conversations with attendees
  • Encourage participation in event activities and initiatives

  • Comfortable speaking with new people and strangers

  • Serve as a floater across all departments to support various operational needs
  • Monitor the event to ensure smooth operations and effective guest service
  • Cover for volunteers during their breaks (typically 30–45 minutes)
  • Assist in addressing unforeseen issues and fill in as needed
  • Act as a communication liaison between different departments to relay critical information

  • Flexibility and adaptability in a dynamic event environment
