JOB DESCRIPTION – FEDERAL GRANTS COORDINATOR

    Entrepreneurs through inspiration, engagement, and exposure. Members of the community will learn about opportunities in the fields of Science, Technology,
    Engineering, and Math (STEM).
    Overview: The Federal Grants Coordinator position is a critical role on the STEM NOLA team that ensures proper record keeping and tracking of Federal and Municipal grant reporting requirements. The position is responsible for financial accounting, compliance, and reporting of all government grants written by the grant writing staff. Specifically, s/he will ensure that all budgets, expenses, applications, and reporting are accurate and in compliance with state and federal laws and that all grant funded expenses are properly allocated to benefitting divisions, in partnership with the accounting department. The role requires incredible attention to detail, excellent writing skills, effective communication, and a passion for technology assisted organization skills. This position reports to the Grants Manager or designee of the CEO.

Budgeting and Reporting

  • Assist in the annual budgeting process, working with the finance team on scenarios and ensuring consistent budgeting assumptions for government grant programming.
  • In collaboration with Division Directors, Evaluate government grant budgets for consistency and division application.
  • Ensure proper allocation of government grant funding to expenses in Division budgets
  • Create government grant spending reports monthly.

Financial Management of Federal Grants

  • Ensure all expenses charged to government grant funding are accurately tracked.
  • Review grant spending with Grants Manager and Chief Administrative Officer, at least quarterly, and create amendments as needed.
  • Request monthly or quarterly grant reimbursements (as required by grant stipulations).
  • Manage fiscal compliance to ensure that expenditures charged to grants match application budgets, with necessary documentation.

Internal and External Audits

  • Conduct mid-year internal audit of government grants to ensure financial and legal compliance with all grant stipulations.
  • Conduct a thorough internal audit of government grants during the grant closeout process.
  • Complete year end reconciliation of government grant expenditures and ensure audit readiness.
  • Liaise with external auditors to ensure they receive the necessary information and documents to complete the audit.

REQUIREMENTS: EDUCATION AND EXPERIENCE:

  • Minimum Bachelor’s degree in Accounting, Finance, Grants Management, or other related business field
  • Minimum of 1-3 years of experience in government, education, or non-profit finance grants.
  • Experience in the management of awarded grants
  • Experience in the management of budget vs actual calculations
  • Proficient in Microsoft Excel (data, formulas, graphing, etc.), Microsoft Office, Google Suite (especially Google Sheets)

THIS POSITION IS:

  • Full time, salaried, minimum of 40 hours per week.
  • May require some company-sponsored travel (less than 15%)
  • Requires availability to work at least one Saturday per month for 4 hours (2nd Saturday of each month)
  • Requires passage of a full background check (state and federally mediated)

    Pay: $48,000.00 - $56,000.00 per year
