FEMALE SECRETARY (PERSONAL ASSISTANT) TO GENERAL MANAGER

We are seeking a proactive and organized Personal Assistant to support our General Manager during a busy period. Key responsibilities include managing schedules, coordinating travel, handling correspondence, and providing general administrative support.

Administrative Tasks

  • Manage the executive’s calendar, appointments, and meetings.
  • Handle travel arrangements, accommodations, and itineraries.
  • Prepare and edit documents, reports, and presentations.
  • Screen and prioritize phone calls and emails.
  • Maintain and organize files and records.
  • Assist with basic financial tracking and expense reports.
  • Coordinate special projects and events.
  • Perform general office and administrative duties.
  • Coordinate the onboarding process for new candidates, including liaising with the PRO to ensure visa and legal requirements are met.
  • Facilitate the seamless transfer of candidates between UAE and KSA by managing the necessary documentation, travel arrangements, and communication with relevant authorities.

Operational Tasks

  • Act as a liaison between the executive and internal/external parties.
  • Prepare meeting agendas and materials.
  • Attend meetings and take minutes if necessary.
  • Conduct research and gather information as required.
  • Monitor and manage deadlines and priorities.

Provide support for personal tasks and errands as requested by the executive.

REQUIREMENTS:

  • Proven experience in a similar role.
  • Excellent organizational and communication skills.
  • Proficiency in Microsoft Office.
  • Ability to maintain confidentiality and adapt to a dynamic environment.
  • Knowledge in ‘Looker studio’ and ‘ Canva’ or other related tools will be an added advantage.
