Position Overview
As a member of the Service Department, the Field Operations Administrator supports the Quality Assurance & Service Manager with efficient functioning of the construction/service department through comprehensive administrative, travel, and project coordination. This role involves managing day-to-day administrative tasks and duties, preparing and maintaining reports, organizing data, and ensuring compliance with company policies.
Responsibilities Include:
Answering e-mails in a prompt and courteous businesslike manner.
Entering service requests into a service database.
Scheduling the work and ordering material for the service crew.
Scheduling appointments with customers and homeowners, as required.
Tracking completion e-mails and updating spreadsheets.
Printing blueprints and documents for construction department.
Acting as a scribe in meetings when necessary.
Ordering tubs/bins based on schedule.
Scheduling subcontractors.
Creating full reports, as required.
Data entry and filing.
Other duties, as assigned.
Knowledge, Skills and Abilities Required:
High School Diploma, GED or equivalent.
Minimum 2 years’ experience in an administrative role.
Proficiency with MS Office (Excel, Word and Outlook).
Post-secondary education in administration or business an asset.
Ability to read blueprints, schematics, field drawings and plans.
Knowledge of new home construction and/or the construction industry.
Proven ability to multitask and prioritize.
Demonstrate strong oral and written communication skills. Demonstrated commitment to continuous self-improvement. Self-starter with a highly energetic, results oriented work style. Ability to work independently and as part of a team, with a high level of honesty and integrity. Excellent organizational skills and multi-tasking capabilities.
