SUMMARY:

The Hot Deli Field Coordinator plays a vital role in supporting the daily operations of the hot deli department by ensuring optimal inventory levels, coordinating vendor deliveries, and maintaining smooth communication between stores, vendors, and management. This position is responsible for purchase order management, issue tracking, and operational reporting, while also assisting with vendor performance evaluation and providing solutions to store-level challenges. The coordinator helps uphold company standards for efficiency, accuracy, and customer satisfaction across all hot deli operations.

QUALIFICATIONS:

  • An Associate’s or Bachelor’s degree required, preferably in Business, Supply Chain, Operations, or a related field.
  • Fluent in English, Mandarin, and Cantonese is strongly preferred.
  • 2+ years of experience in operations, supply chain, logistics, or related fields preferred.
  • Prior experience in the food service or grocery industry is a plus, particularly in deli, prepared foods, or perishable product management.
  • Proficiency in Microsoft Office Suite (Excel for reporting and analysis, Outlook for communication, Word for documentation, and PowerPoint for presentations).
  • Strong organizational and time management skills, with the ability to prioritize competing tasks and meet deadlines.
  • Excellent written and verbal communication abilities, capable of preparing clear reports and maintaining professional vendor/store correspondence.
  • Team-oriented with a collaborative mindset, able to partner effectively with cross-functional teams.
  • Detail-oriented with strong analytical and problem-solving skills, able to identify issues, evaluate options, and implement solutions.
  • Ability to multitask and perform under pressure in a fast-paced retail environment with frequent changes.
  • Authorized to work in the United States without sponsorship.

PHYSICAL REQUIREMENTS:

  • This job may require standing or walking for extended periods of time, lifting up to 50 pounds, and performing repetitive motions.
  • Physically able to stand for extended periods and perform manual tasks such as lifting, mixing, and packaging

Responsibilities
  • Monitor, analyze, and maintain optimal inventory levels for hot deli items to ensure consistent availability while minimizing waste and shrink.
  • Track usage trends and adjust replenishment schedules proactively to meet customer demand and seasonal fluctuations.
  • Release and manage purchase orders in alignment with operational needs, balancing accuracy, cost efficiency, and timeliness.
  • Verify pricing, quantities, and delivery timelines on all purchase orders to maintain compliance with company standards and vendor agreements.
  • Serve as the key contact for store-level hot deli operations, providing support and guidance to address day-to-day challenges.
  • Gather feedback from store teams, investigate operational issues, and follow up on resolutions to drive continuous improvement.
  • Liaise with local vendors to coordinate deliveries, resolve discrepancies, and maintain strong working relationships that support business needs.
  • Support vendor performance evaluations by tracking service reliability, quality, and responsiveness, and share constructive feedback with management.
  • Maintain accurate records of operational issues, including delays, shortages, and quality concerns, and assist in creating action plans for resolution.
  • Summarize findings and prepare reports that highlight operational trends, recurring challenges, and recommendations for improvement.
  • Collaborate with internal teams (procurement, supply chain, and operations) to enhance efficiency, strengthen compliance, and streamline processes.
  • Ensure adherence to food safety, labeling, and handling requirements in coordination with store operations.
  • Perform other duties as assigned by management.
