Description Field Services Coordinator The Rocky Mountain Elk Foundation (RMEF) is a mission-driven non-profit dedicated to ensuring the future of elk, other wildlife, their habitat and our hunting heritage. Since our founding in 1984, we have helped conserve nearly one square mile of elk country every day. In partnership with others, we have conserved or enhanced more than 9.1 million acres, including improving public access to 1.6 million acres. Our impact will extend to 10 million acres by 2030. RMEF is proud of our conservation successes and is committed to making an even larger impact in the future. RMEF is seeking a Field Services Coordinator to provide critical support to RMEF’s field operations department. This position will focus on supporting the fundraising banquet program and RMEF’s field-based fundraisers. At RMEF, your work directly supports programs that ensure the future of elk and other wildlife, and protect our hunting heritage Qualifications include: High school degree or equivalent Formal training/education in business administration, communication and similar fields Three years progressive experience in an administrative support position or equivalence experience Experience working in a volunteer-based organization Location: This position is based at RMEF’s Headquarters office in Missoula, Montana and requires fulltime on-site work. Job Summary: Provides critical support to the banquet functions of Field Operations. Directly supports the Regional Director and volunteers’ efforts through chapter and banquet support. Primary liaison between the national office and the Regional Director. Essential Functions: Detailed coordination and daily contact with assigned Regional Directors, providing all aspects of banquet support. This includes ordering and tracking of all materials and merchandise necessary for chapter fund raising activities. Extensive follow up is needed, which includes routing requested for information to the appropriate department and advising on problems. Assist Regional Directors in assigned region with key fundraising tasks and be a resource throughout the RD’s event planning processes. Tasks may include but are not limited to, working with RD on merchandise orders, assisting RD with mailers, work with RD to ensure necessary merchandise and support materials are ordered, working with RD to submit event advisories and list requests, and assisting RD to ensure timely submission of necessary paperwork and event materials. Establish, maintain, and organize chapter and Regional Director promotional information. Responsible for accurate tracking of banquet files to ensure all necessary components are provided to the chapter in a timely manner. Interact with Regional Directors and committees regarding policy, bookkeeping, and merchandise information. Have an in depth knowledge of banquet set up and accounting procedures, as well as familiarity with tax, raffle, and firearm regulations. Responsible for updating database with event and volunteer information, including inventory updates, EMS updates, address changes, special list requests. Communicate vendor payment issues with accounting/RDs – order cancellations or additions before and after purchase order creation. Work with vendors on outside inventory issues and order cancellations. Address volunteer and customer complaints in a timely, diplomatic and efficient manner. Coordinating, scheduling and maintaining social media Facebook pages, and Klaviyo email notifications related to Banquets and Ladies Events. Represent the National Office at State/Provincial Workshops and banquets as needed. Knowledge, Skills, Abilities: Knowledge and support of the RMEF’s mission, goals, and activities. Must be able to work independently and in a team, handling tasks in a self-sufficient manner while also supporting other coordinators and staff as needed. Must have the ability to problem solve, produce practical solutions and effectively implement those solutions. Must possess solid communication skills effectively communicating with the staff at all levels of the organization, vendor contacts, members and volunteers including board members and other lead volunteers. Must have knowledge and understanding of, and comply with RMEF policy directing departmental responsibilities. Must have demonstrate strong organizational and time management skills. Ability to prioritize work and be flexible with unexpected demands. Must demonstrate the ability to manage multiple tasks and meet deadlines. Must have excellent computer skills, experience using Microsoft programs preferred. Must have experience working with relational databases. Must demonstrate excellent customer service skills including being proactive, demonstrating solid follow-through and attention to detail and the flexibility to make adjustments when requested. Must have the ability to pay close attention to details and accurately processing requests. Must project a positive, professional image. Physical Demands: The employee must sit or stand for long periods of time; use a computer terminal; reach forward and to the side; bend from both standing and sitting position; and lift items weighing various pounds, including some heavy lifting.
