POSITION DESCRIPTION

Under the direction and supervision of the Operations Manager, is responsible for efficient file management and maintenance in addition to providing support to the Operations and legal teams.

Responsibilities

DUTIES/RESPONSIBILITIES

  • Create or update records with new files, folders and information.
  • Store all files alphabetically and according to client, content, etc. in designated places, ensuring security and organization of important documents.
  • Update records in an electronic system as needed.
  • Facilitate internal requests for documents as needed, such as government and legal authorization forms.
  • Creating calendar reminders for the Legal team.
  • Monitor inventory of files, office supplies, etc. and reports shortages.
  • Printing, assembling, and scanning various documents for review.
  • May perform daily sanitizing and cleaning of high-touch office areas.
  • Drafting templated emails to clients, approval cover letters, shipping labels, and others under the direction of management.
  • Contributes to maintaining positive office morale.
  • Acts as an ambassador for the mission, values, and standards of behavior of the firm.
