JOB PURPOSE: The Accounting Clerk position is pivotal to the finance department because this individual works with all team members. This position will assist the department/team, including accounts payable, receivables, billings, financial reporting, clerical and administrative tasks, and internal and external client and vendor inquiries.

KNOWLEDGE

SKILLS

· Competency in MS Office, databases and accounting software

MINIMUM QUALIFICATIONS:

· High School Diploma, and 12 months of experience directly related to the duties and responsibilities specified.

  • Associate degree from Accredited Institution in Accounting, Finance, or related field

PREFERRED QUALIFICATIONS:

· 12 months of experience directly related to the duties and responsibilities specified.
· Non-profit work experience

Responsibilities

CORE RESPONSIBILITIES:

Process check requests, including allocation of expenses and review mileage request

  • Maintenance Employee Benefits schedule allocation which agreed with PR allocation.
  • Maintenance portal vendors account for updated payment and avoid late fee.
  • Order agency program supplies based on approved purchase requisitions and verify delivery of goods upon receipt, including notifying staff of their deliveries on manual and will directly on FE system by recording purchase, and closed purchase before transfer to AP specialist for process payment.
  • Compare and approve the pre-list of all accounts payable transactions and supporting documents before the AP Specialist processes the payments to the vendors.
  • Work with the controller to prepare the monthly financial statements and reporting.
  • Work with the controller to create Excel and Financial Edge ad hoc financial reports for the CEO and Management team.
  • Provide support for annual and program-specific audits.
  • Maintains the filing systems for accounts payable and receivable (not AR : belong to Staff Accountant) and all accounting department functions.
  • Assist the department in completing month-end and year-end closing, invoices, and prepare AP accrual Worksheet at year end. cash receipts, billings, and recording journal entries ( Staff Accountant duties).
  • Work with the controller and CFO/CEO to enhance the finance department’s procedures, document management and flow, and internal and external client support.
  • Assist with following up with programs on pending receipts needed.
  • Communicate with internal departments regarding financial matters.
  • Effectively engage and support historically minoritized groups by addressing equity issues and improving culturally responsive service-oriented practices.
  • Maintain ongoing contact and engagement with Finance Department staff, administration, stakeholders, and partners.
  • Institute practices and principles related to the Agency’s Trauma-Informed Care goals and strategies.
  • Performs other related duties as assigned.
