General information Job Title Finance and Administration Assistant (2.5 days) Reports to Head of Finance and Administration Job purpose Assist with the day-to-day financial operations and general administration, manage a variety of financial claims with central and local government, sponsors, and grant/trust schemes Business Hours Flexible business hours 8am-6pm. Maternity leave cover – 1 year starting June 2026 Application window Applications will close 8am 1st June Interviews 4th June , in person, in Belfast Purpose of role The Finance and Administration Assistant will support members of the organisation on matters related to financial operations and general administrative duties. The role will act as a support function under the direction of the Head of Finance and Administration. The Finance and Administration Assistant will play an important role in supporting the organisation to remain high performing and deliver on its broader goals. The successful candidate will be able to work independently and as part of a team, and be able to handle multiple tasks at once. Duties and expected outcomes FINANCE General Assist with the organisation’s financial operations, ensuring that accurate information is provided to support and inform financial decision making processes. Assist with the production of all necessary information for reports, including monthly management accounts, cashflow and budget reports as required. Assist with day to day finance queries and undertake any other duties that may be reasonably required. Purchase Ledger Checking the finance email inbox daily and dealing with information accordingly Perform all the necessary roles in the accounts payable process – using the online purchase ordering and accounts payable tools Processing all supplier invoices through the light year system, ensuring accurate posting and that the amounts payable for goods and services are in accordance with purchasing policy. Processing payment of all staff expenses on light year Processing credit card transactions and posting correctly Creating weekly authorisation run for export of purchase invoices into Sage 50 Preparing weekly supplier payment run using the Aged creditors report on Sage 50 Create weekly online bank payments for suppliers, accurately and on time Issue payment remittance advice using the Sage 50 Completing supplier statement reconciliation, and resolving any discrepancies Sales Ledger Generating customer invoicing as and when required by Managers and ensuring they are posted with correct nominal and tax code. Follow up on outstanding debtors Nominal Ledger Assist with maintenance of the general ledger records including the posting of journals Assist in month end preparations and year end preparation as required Reconciliations Prepare weekly bank reconciliations for the current account Prepare monthly reconciliation of the credit card and equals payment card ADMINISTRATION Support the LHLH Grants Officer in verification of the small grants claims using the submittable system Update the Funders Database with financial information for managers Prepare information for occasional claims for funding bodies as required Assist with general administrative duties in relation to office administration and IT for the organisation, including ordering of office supplies Undertake any other duties that may be reasonably required. Person Specification General The person appointed will work from our office in Belfast a minimum of 1 day per week and may work from home the rest of the week. You will also be expected to travel to sites, events, photocalls, meetings etc as required. IT support and hardware is provided for all staff to enable them to be efficient and effective in their work. Live Here Love Here operates flexible office hours between 8am and 6pm, with core hours between 10am and 4pm. Your normal days of work will be Monday to Friday, but given the nature of the work, this role requires flexibility to support communities at their pace and will involve some evening and weekend working. Flexibility for this is vital and time-in-lieu will be offered in return. This position is funded through the DAERA Environment Fund.
