JOB TITLE: Finance and Operations Assistant
LOCATION: Pavilion Buildings, Brighton
This role will be based predominantly at Pavilion Buildings, Brighton. Depending on their roles, our staff can be required to work on a range of different sites, including our main training centre, enrichment site, training cafés and employer’s premises.

JOB SUMMARY

We are seeking a detail-oriented and proactive Finance and Operations Assistant. The successful candidate will support the finance department in managing financial operations, including handling the purchase ledger, maintaining accurate records, and assisting with various administrative and operational tasks, relating to site management. This role is ideal for someone looking to grow their career in finance and operations.

EXPERIENCE

  • Full training will be provided.

QUALIFICATIONS

  • Minimum of 3 ‘A’ levels (or equivalent international recognised qualifications).

Person Specification

  • Strong analytical skills and attention to detail.
  • Proficient in Microsoft Office Suite (especially Excel) and accounting software.
  • Excellent organisational skills and time management skills.
  • Ability to communicate effectively.
  • An interest in Finance, IT and Business Operations.
  • A proactive attitude and the ability to work independently and as part of a team.
  • Understanding of confidentiality
  • Ability to work under pressure and to deadlines.
Responsibilities
  • Assist the Finance and Operations Manager in daily financial and operational duties including administrative tasks.
  • Manage and maintain the purchase ledger, including but not limited to:
  • Processing purchase invoices and staff expense claims.
  • Preparing and uploading payment runs.
  • Supplier management, including reconciling statements and managing supplier queries
  • Prepare and maintain financial reports related to purchases and expenditures.
  • Assist in the preparation of budgets and forecasts, providing relevant data as required.
  • Support month-end and year-end closing processes by providing necessary documentation and reports.
  • Help maintain accurate financial records and documentation in compliance with company policies and regulations.
  • Provide administrative support to the finance and operations department, including filing, data entry, and making and responding to inquiries.
  • Plan, schedule and supervise operational tasks.
  • Other ad hoc duties as required to support the Finance and Operations department.
