WHO WE’RE LOOKING FOR:

We are seeking a proactive and highly self-motivated Finance Assistant to join our team at Police Care UK to work in collaboration with staff and the Financial Controller to support the finance function and other departments across the charity. You will play a key role in ensuring timely processing and authorisation of expense claims and invoices supporting the finance team to create timely reporting. In keeping with the needs of a period of change and the charity values, you will be flexible and have a can-do attitude. We will shortly be commencing a project to upgrade our accounting platform, so any experience that you have of working through the implementation of a new system and the processes involved would be advantageous.

QUALIFICATIONS & TRAINING:

  • Educated to A-level or equivalent
  • Working towards AAT qualification would be advantageous but not essential

EXPERIENCE:

  • Previous experience working within a finance function
  • Experience working with Sage or a similar accounting platform

KNOWLEDGE AND SKILLS:

  • Ability to communicate effectively across multiple stakeholders at all levels – both by email and face to face.
  • Strong detail and accuracy skills.
  • Skills in planning and organising workload.
  • Proficiency with all Microsoft 365 applications – including Excel, Word and Teams.
    Hours of work: 25 hours a week across 4 or 5 days

The jobholder will be required to work within the rules and regulations of the Charity and accept the authority of the Chief Executive, who has the discretion to delegate authority to the jobholder and to withdraw it.

Responsibilities
  • Data entry to the purchase daybook, maintaining the purchase daybook.
  • Checking staff and volunteer expense claims and mileage records when passed to Finance.
  • Ensuring that all invoices/expenses are correctly approved and posted into Sage.
  • Arranging for the payment run to be executed by the Finance Officer and updating the day books when the payment run is complete.
  • Maintaining the Finance inbox and dealing with queries (to their conclusions) daily.
  • Checking credit card statements and making sure they are coded and authorised.
  • Checking invoices from our travel provider and ensuring that these are coded correctly for input into the accounting platform.
  • Assisting with the reporting of donations and other streams of income received, including Gift Aid.
  • Handling various ad hoc assignments and projects and assisting the Management Accountant and Finance Officer with any tasks, as and when required.
