Have you worked with ERP systems (e.g. SAP) and EDI order processing, ideally within a B2B or retail context?

Do you have strong Excel skills, including VLOOKUPs and pivot tables, and experience using these to support inventory or shipment planning?

MacGregor Black is partnering with a global toy and consumer products business on the search for a Sales Order Processing Coordinator based in Coventry.

This is a central operations role managing the full order lifecycle from receipt through to delivery, acting as the key link between Sales, Customers, Finance, Warehousing and Logistics. The successful candidate will take ownership of order accuracy, fulfilment coordination and issue resolution across a high-volume, direct-to-retail account base, while working closely with a US-based Customer Service team across a six-hour time difference. The role is based on-site in Coventry Monday to Thursday, with remote working on Fridays.

Key Responsibilities:

  • Receive, review and accurately process customer purchase orders, entering them into ERP/CRM systems with correct pricing, quantities, delivery details and terms
  • Validate orders against contracts, pricing agreements and stock availability, managing amendments, cancellations and returns
  • Act as the main point of contact for order-related enquiries, providing confirmations, delivery updates and status reports
  • Support account managers with administrative and operational tasks
  • Check stock availability, allocate inventory to orders and coordinate with warehouse and logistics teams to ensure timely dispatch
  • Monitor backorders and communicate expected fulfilment timelines
  • Prepare and maintain accurate order documentation, including invoices, shipping paperwork and export documents where required
  • Ensure compliance with company policies, contractual obligations and regulatory requirements
  • Work with Finance to ensure accurate invoicing, resolve billing discrepancies and verify customer credit status before releasing orders
  • Identify and resolve order discrepancies, delivery issues and customer concerns, escalating complex matters while keeping stakeholders informed
  • Maintain accurate records of orders, communications and transactions
  • Produce reports on order status, fulfilment performance and customer trends, and contribute ideas for process improvement
  • Manage order processing across a portfolio of up to 500 direct-to-retail accounts, handling up to 10 million orders a year


What We're Looking For:

  • Previous experience in customer service or order processing, ideally within a manufacturing or supply-chain environment
  • Experience using Electronic Data Interchange (EDI) systems and familiarity with B2B order processing used by major retailers
  • Experience with inventory management and third-party logistics (3PL) providers is advantageous
  • Strong Excel skills, including VLOOKUPs and pivot tables, to support inventory allocation and shipment planning
  • ERP system experience, preferably SAP or similar
  • Ability to work independently and make sound decisions, given this role is based in the UK while the majority of the Customer Service team is in the US
  • Comfortable acting as the primary point of coordination for UK/EU order processing while collaborating effectively with US-based teams
  • Excellent verbal and written communication skills, with strong problem-solving ability and sound judgement
  • Exceptional attention to detail, organisational skills, and the ability to manage multiple priorities in a fast-paced environment
  • GCSEs (or equivalent); a Bachelor's degree is desirable
