The Finance Coordinator provides critical day-to-day support across accounts receivable, accounts payable, monthly close, budgeting, and annual audit/tax preparation. Reporting to the Deputy Director of Finance & Operations, this role ensures timely and accurate financial processing, supports compliance with policies and contracts, and partners closely with members of the finance team to maintain strong finance and administration operations. The ideal candidate is detail-oriented, organized, and comfortable managing multiple priorities in a fast-paced, mission-driven environment. The position offers a hybrid work arrangement, with team collaboration days on Mondays and Wednesdays and one additional in-office day each week, determined by team priorities. Core Responsibilities:  Accounts Receivable (Daily) * Support completion of new vendor forms (with final review/signature by Manager). * Enter invoices into Coupa/Ariba or other customer billing systems. * Assist with vendor collections, including participating in collections calls with the Membership team. Accounts Payable (Daily) * Enter invoices into Sage Intacct with correct coding as provided by the Manager. * Ensure invoices are routed and approved by Department Heads before payment. * Track invoice spend against contracts to ensure alignment. * Maintain organized filing and documentation of all active contracts. Month-End Close (Monthly) * Prepare asset and liability account reconciliations for Manager review. * Prepare revenue account reconciliations for Manager review. * Update salary allocation entries based on the approved forecast. * Record monthly overhead allocations and revenue release journal entries for grants (reviewed by Manager). * Assist with recording and classifying credit card expenses in the accounting system. Budgeting & Forecasting (Monthly) * Support the Manager in updating monthly forecasts to reflect new information and ensure grant spending remains on track. * Review grant agreements to confirm that budget forecasts remain aligned with approved grant budgets. Annual Responsibilities * Assist in preparing schedules, pulling supporting documentation, and responding to auditor requests during the annual audit process. * Support the preparation of schedules and documentation required for the annual tax return. * Partner with the Manager on periodic review and updates of financial policies and procedures. * Assist in compiling the annual list of 1099 vendors and preparing relevant year-end documentation. Other Duties Provide additional administrative, analytical, or financial support as needed to ensure smooth and efficient Finance operations.
