Description

Biospective is looking for a dedicated and detail-oriented Finance & HR Assistant to join our team.
In this role, you will provide day-to-day support across Finance, Human Resources, and Administrative operations. From assisting with recruitment and onboarding to coordinating purchases and handling internal communications, you’ll help ensure our internal processes run smoothly and efficiently.
This position offers the opportunity to work closely with cross-functional teams, gain hands-on experience in a dynamic scientific environment, and grow your skills in both finance and HR.
Responsibilities:

Finance

  • Support with financial documentation including insurance renewal processes, government processes (e.g., salary equity exercise)
  • Coordinate purchases, track deliveries, and liaise with suppliers

Human Resources

  • Assist with recruitment: post jobs, screening, and schedule coordination
  • Assist the HR Lead with onboarding/offboarding activities: prepare documentation, coordinate equipment, complete checklists, etc.
  • Provide support for staff training programs, performance reviews, and company-wide events
  • Handle general staff inquiries, such as employment confirmation letters, and providing information regarding benefit plans and HR policies
  • Help and assist HR Lead in other activities as needed

Administrative Support

  • Handle incoming calls and emails in both French and English
  • Translate internal and external communications
  • Schedule meetings and prepare agendas
  • Maintain organized filing systems and assist with formatting documents
  • Contribute to day-to-day office management and ad-hoc projects
  • Work closely with team members to improve processes and ensure seamless operations.

SKILLS AND REQUIREMENTS:

  • Minimum of 2 years of relevant experience
  • Bachelor’s degree in Human Resources, Business Administration, Finance, or a related field
  • Advanced capabilities with Excel and Word
  • Excellent written and verbal communication skills, both French and English
  • Exceptional organizational skills with the ability to maintain a structured filing system
  • Meticulous attention to detail to ensure accuracy in document handling and record-keeping
  • Ability to handle sensitive information with discretion and maintain confidentiality
  • Ability to handle multiple tasks simultaneously, shift priorities, and remain calm under pressure
  • Ability to work independently and collaboratively
