KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

This position requires an individual who can work independently and proficiently using Microsoft Word, Excel, and Internet Based applications in order to manage the daily tasks and data processing required to account for and reconcile the Bank?s accounts payable function, credit card portfolio, investment portfolio, correspondent banking relationships and other duties. An understanding of advanced Excel features, such as database functions, v-look up and charting are essential. This individual must be able to interact professionally with other staff members and representatives of external organizations in order to maintain relationships. The ability to troubleshoot problems as they arise during daily processes is important. A working knowledge of the Jack Henry CIF 20/20 product is also required for this position. The individual must have the ability to be flexible in a fast paced environment, while remaining at all times within the guidelines of safety and compliance.

QUALIFICATIONS

Education: Minimum High School Diploma with continuing education in the banking industry. Associates of Accounting degree would be preferred.
Experience: Three to five years banking experience with general accounting experience preferred. Must demonstrate the ability to be detail oriented and possess strong organizational skills. This individual must demonstrate strong verbal and written communications skills, as well as strong computer skills particularly with MS Word & Excel. A proven knowledge of banking systems is required. A general understanding of investments would be beneficial.

Responsibilities

PRIMARY PURPOSE

  • To properly account for, reconcile, file (paper and electronically), and record accounts payable entries, accurately and timely.
  • To properly account for, reconcile and monitor the Bank?s investment portfolio and correspondent banking accounts consistent with the needs of the bank.
  • To perform a variety of tasks associated with ordering & purchasing supplies needed for the bank facility and employees.

RESPONSIBILITIES

  • To fully understand the processes and internal controls required to properly execute all phases of the accounts payable function, including the Bank?s corporate credit card portfolio, accurately and timely in conjunction with the Operations Department. This includes the preparation of year-end tax forms, 1099-M and 1099- QRP.
  • To fully understand the processes required to properly account for, reconcile related general ledger accounts and monitor the investment portfolio and correspondent banking relationships, including the monthly preparation of market pricing reports.
  • To fully understand the accounts payable procedures, and the processing of payables from start to finish in the BankTel software.
  • To fully understand the process of paying the corporate credit card, and processing individual credit card statements to each corporate credit card holder.
  • To assist in processing the Bank?s fixed assets, prepaids, and accruals in the BankTel system monthly.
  • To fully understand and implement processes required to originate outgoing domestic and foreign wire transfers and the related accounting and regulatory tracking of such.
  • To fully understand the processes required to properly account for, reconcile and monitor the investment portfolio and correspondent banking relationships.
  • To support processes related to the investment portfolio management of the Finance Department, as necessary.
  • To assist with the preparation for the Bank?s semi-annual external audits and any internal audits conducted annually.
  • To work independently to perform purchasing duties as follows:


    • Manage all aspects of the stockroom

    • Oversee order entry process into stockroom software
    • Control and schedule order fulfillment process
    • Order supplies within budget
    • Receive shipments from UPS, Fed Ex, and other delivery companies.
    • Develop relationships with outside vendors
    • To devise, modify and monitor written procedures applicable to the position?s areas of responsibilities to ensure that they are accurate and up to date at all times.
    • To fully comply with all Sugar River Bank policies and procedures and adhere to the bank?s service standards.
    • To provide superior customer service to all internal & external customers.
    • To ensure that any major issues which arise are immediately reported to management.
    • To properly address any and all issues as they become known and need attention.
    • To participate in the rotational schedule for IT coverage on Friday evening and Saturday morning.

    ESSENTIAL DUTIES / FUNCTIONS

    • Ensure all day-to-day functions are done accurately on a daily or timely basis, and documented according to procedures.
    • Ensure all correspondent banking relationships are maintained within minimum balance requirements and to regulatory compliance guidelines.
    • Ensure all items requested for audits and exams are provided promptly and clearly presented.
    • Ensure that procedural documentation is maintained and up to date at all times.
    • Ensure that any and all training is fully documented and retained.
    • Ensure that all responsibilities within this job description are known and followed.

    SECONDARY DUTIES/FUNCTIONS

    • Support and or assist the Finance Department as necessary to complete special assignments or projects.
    • Support the Finance Department in its team approach to process and support the Bank maintain regulatory compliance and accuracy.
    • Support and or assist the Operations Department in their daily functions as necessary.
    • Pursue appropriate ongoing educational opportunities if and when appropriate.
