Description

Key Responsibilities

  • Manage and distribute the company inbox, ensuring correspondence is dealt with promptly and appropriately.
  • Provide general administrative support to management and the engineering/project teams.
  • Schedule meetings, coordinate diaries and take accurate meeting minutes, including recording and following up on agreed actions.
  • Track project costs, including labour costs and hours worked.
  • Manage the company clock-in/timekeeping system and provide weekly information for payroll processing.
  • Maintain accurate fleet records, including vehicle assignments, Tax and NCT details.
  • Manage weekly vehicle checklist documentation and monthly mileage records.
  • Oversee fuel card allocation, limits, PIN/security and usage reporting.
  • Complete data entry and maintain accurate records, spreadsheets and reports using Excel.
  • Reconcile company credit card/expense statements and maintain supporting documentation.
  • Assist with project administration and reporting.
  • Update company documents, templates and records as required.
  • Use the company ERP system to record and manage relevant information.
  • Ensure records and documentation are maintained accurately and in line with GDPR requirements.


Responsibilities

Skills & Experience

  • Previous experience in an Office Administration, Project Administration or similar role.
  • Certificate or diploma in business administration
  • Strong organisational and time-management skills.
  • Working knowledge of GDPR principles and practical application in an office context.
  • Good attention to detail and accuracy.
  • Excellent communication and email management skills.
  • Good working knowledge of Microsoft Excel, including data entry and maintaining spreadsheets.
  • Ability to take clear and accurate meeting minutes.
  • Comfortable following up on actions and working to deadlines.
  • Experience tracking costs, hours or project information would be an advantage.
  • Experience with clocking/timekeeping systems would be an advantage.
  • Experience using ERP systems would be beneficial.
  • Experience with Workpal would be a distinct advantage.
  • Previous experience within an engineering, construction or project-based environment would be beneficial.
