Job Role: Finance & Operations Coordinator Compensation range: $2000 - $2500 AUD / Monthly Engagement type: Independent Contractor Agreement Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5.30 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time. Who The Client Is: We are a group of fast-growing Australian businesses operating in the healthcare and pharmaceutical distribution space: a telehealth clinic providing patients with access to alternative and specialised treatment options through qualified practitioners a medicinal cannabis and natural health company supplying high-quality products to pharmacies, clinics, and patients across Australia Both businesses operate in a regulated environment where accuracy, compliance, and attention to detail are critical. The team is lean, fast-moving, and results-driven, with a strong focus on building scalable systems, maintaining clean financial processes, and delivering a high standard of service across all operations. Role Overview: We are looking for a Finance & Operations Coordinator to support the day-to-day operations of our growing healthcare and pharmaceutical distribution businesses. While this role includes light bookkeeping tasks in Xero, a significant portion of the role focuses on operations coordination, order processing, and communication with internal teams and clients. The ideal candidate is highly responsive, organized, and comfortable working in a fast-paced environment, managing multiple requests and ensuring smooth coordination between teams. Key Responsibilities: Operations & Client Coordination (Primary Focus) Coordinate daily operational requests through WhatsApp and internal communication channels Place and manage client orders across systems Respond to client inquiries regarding stock availability, invoices, and pricing deals Liaise with internal teams to ensure orders and requests are processed accurately Maintain timely responses in a fast-paced environment Ensure smooth operational workflow between teams Financial Administration Assist with bookkeeping tasks using Xero Manage accounts payable and receivable Support bank and account reconciliations Help maintain accurate financial records across multiple entities Problem Solving & Support Investigate discrepancies related to invoices, orders, or payments Ensure operational and financial data are accurate Support process improvements to streamline workflows 2+ years of proven experience in bookkeeping, finance administration, or similar roles Strong hands-on experience with Xero Experience working with multi-entity businesses High level of accuracy and attention to detail (non-negotiable) Comfortable working with imperfect or unstructured data Strong communication and responsiveness (WhatsApp / chat-based coordination) Experience managing orders, invoices, or operational requests Ability to work in a fast-paced environment Strong problem-solving skills and ability to identify discrepancies Highly responsive and reliable in communication Work Arrangement & Expectations: This is a remote role that will be set up as an independent contractor engagement.
