Description JOB SUMMARY: This position is responsible for providing accounting, administrative, and clerical services in order to ensure effective, efficient and accurate financial and administrative operations of the organization. This role is responsible for processing and maintaining large numbers of administrative, customer, and fiscal records while providing specialized support and demonstrating a strong knowledge of departmental policies and procedures. This position serves as an assistant to the Accounting Manager when necessary. CareerSource Tampa Bay reserves the right to modify or change the duties or essential functions of this job at any time). Receive and input financial data into the accounting systems. Perform routine accounts payable and accounts receivable functions. Prepare, process, track and maintain purchase requisitions. Ensure organization procurement policies are followed at all times. Assist with formal procurement Request for Proposal (RFP), Invitation to Negotiate (ITN), as needed. Assist Directors with prior approvals from State and Federal grant agencies as needed. Manage travel authorizations, requests and reimbursements for the organization. Receive and maintain materials, records and supplies and assists in checking materials against invoices or orders. Pick up, deliver or receive and disseminate mail and other information. Maintain appointment calendars, schedule appointments, research and assemble information for others. Assist and provide routine information and support to inquiries from others for assistance, services, and resolution to problems. Assist in the dissemination of information concerning programs and services. Provide support on various accounting and financial projects including audits. Duties may be assigned as deemed necessary. Requirements QUALIFICATIONS: Minimum Education & Training: Associate’s degree or some college coursework. Two (2) years of office support experience dealing with administrative and clerical matters, customer accounts, service problems, and office experience in the use of computers and related office equipment or equivalent combination of education, training and/or experience. Proficient in Microsoft suite (Outlook, Word etc.) JOB SPECIFICATIONS: Knowledge of business English, spelling and punctuation. Knowledge of standard office practices, procedures and equipment. Skill in keyboarding accurately at a reasonable rate of speed. Ability to receive the public with tact, patience and courtesy. Ability to work cooperatively and collaboratively with all levels of employees, management, and external agencies. Ability to sort paperwork, file and otherwise acquire information to perform basic office assistance. Ability to perform computer data entry and word-processing functions. Ability to compose and prepare routine communications. Ability to make arithmetical computations with speed and accuracy. Ability to travel between offices. Ability to accept, receive and/ or collect payments. Ability to prepare and/or process purchase orders. Ability to be accountable for inventory/ property management.
