Description
The Financial & Administrative Project Officer supports the financial monitoring, documentation management, and administrative processes of ADAPTIT’s Group funded projects. This role is essential for maintaining compliance, managing project costs, organizing documentation, and supporting the submission of financial reports in close collaboration with the Head of Funded Programs. Financial Support Track project expenses and verify eligibility. Collect, record, and validate financial documents (invoices, offers, payment orders). Collaborate with the accounting department on project cost reporting. Manage timesheets, travel logs, and related documentation. Prepare financial statements / cost reports for submission. Administrative & Documentation Support Collect and archive legal and administrative documents (declarations, certificates, contracts). Upload documents to EU Funding Portal, national systems (OPS, MIS), etc. Organize electronic and physical project files. Monitor deadlines, reporting dates, and administrative obligations. Support planning and coordination of project meetings and partner communication. Proposal Support Prepare and update standard annexes. Collect data for budgets, profile-CVs, and company documentation. Maintain and update project templates. Coordination & Meetings Support Participation in internal and external project meetings. Preparation of brief minutes and follow-up of action items. Monitoring of deliverables, milestones, and related deadlines. Support in partner communication and collection of required documentation. Bachelor’s degree in Economics, Business Administration, ICT, or related field. Approx. 1–3 years relevant experience (experience in EU/ESPA-funded projects is a plus). Strong organizational and analytical skills. Project management approach and way of work, meeting goals and deadlines. Good knowledge of MS Office, especially regarding presentation and reporting needs. Good command of English.
