Responsibilities

Prioritize purchase requests according to urgency and process documents timely.
Create, audit and encumber purchases on behalf of the bureau ensuring adequate descriptions, attachments, procurement methods, accounting codes, and approvals.
Provide general purchasing and RFP/RFA knowledge and guidance to agency personnel via meetings, telephone calls and email correspondence.
Track purchase orders at least monthly and communicate concerns with General Accounting and the Chief Procurement Officer when necessary.
Support the bureau with contract development and deployment of all contracts and management of all budgets using SHARE Financial System.
Work with the Budget Bureau to prepare the ASD quarterly projection reports to include retrieving the budget overview, general ledger, encumbrance and TPID data for the scheduled projection meetings and facilitate projection meetings to provide the financial status of the Program’s progress; assist with journal entries, Budget Adjustment Requests, Budget Reallocation Forms and any necessary budget processes that pertain to the program.

Minimum Qualification
Bachelor’s degree in finance, accounting, economics, or business administration and four (4) years of directly related experience in budgeting, accounting, and/or auditing. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling eight (8) years may substitute for the required education and experience. For use at the State Investment Council only: any budgeting, accounting, and/or auditing experience is acceptable.
Employment Requirements
Must possess and maintain a valid New Mexico’s Driver’s License.
Working Conditions
Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required. Some occasional travel is required for meetings and conferences.
