POSITION SUMMARY

In this role, you’ll be the behind-the-scenes engine that keeps our office humming, our financial records organized, and our senior team supported.
You’ll stock the snacks, coordinate the chaos, wrangle receipts, and help make sure meetings, travel, and day-to-day operations all happen seamlessly. If you’re someone who takes pride in being the go-to person for “getting things done,” this role might be your perfect fit.

QUALIFICATIONS

Required

  • 2+ years of experience in an administrative, bookkeeping, or office coordinator role.
  • Proficiency in Google Workspace (Docs, Sheets, Gmail, Calendar).
  • Experience with financial data entry, credit card reconciliation, and/or expense tracking.
  • Strong written and verbal communication skills.
  • Ability to manage confidential and sensitive information with discretion.
  • Strong organizational and multitasking skills with attention to detail.
  • Availability to work full-time on-site in Tillsonburg

Preferred

  • Familiarity with QuickBooks Online, NetSuite, or ApprovalMax.
  • Previous experience supporting executives or coordinating travel logistics.
  • Exposure to finance, construction, or professional services environments.

Responsibilities

Office Administration & Coordination

  • Maintain daily office tidiness, including shared kitchen and common areas.
  • Monitor and restock office supplies, snacks, and refreshments as needed.
  • Organize company-branded materials and assist with internal/external fulfillment.
  • Coordinate logistics for on-site meetings, staff meals, and small events.
  • Ensure a welcoming, well-maintained environment for staff and visitors.

Financial & Data Entry Support

  • Enter financial transaction data, vendor information, and receipts with accuracy.
  • Process monthly entries for multiple corporate credit cards under the direction of the Corporate Controller
  • Maintain spreadsheets to track expenses, travel costs, and approval workflows.
  • Organize digital files, invoices, and receipts across appropriate systems.
  • Assist with reconciliations, reporting preparation, and other financial administrative tasks.

Executive & Personal Support

  • Provide administrative support to the Finance Manager and Treasury Manager, including scheduling and calendar management.
  • Arrange travel bookings (e.g., flights, hotel, rental vehicles) for executives, staff, and guests.
  • Prepare and submit executive expense reports in a timely and accurate manner.
  • Assist with occasional personal tasks or reminders as required.
