GENERAL SUMMARY:

This position reports to the Court Administrator. The position coordinates and manages all fiscal functions for the 54-B District Court including preparing and/or auditing bank deposits, performing bank reconciliations, paying bills, transmitting funds to/from the local funding unit and the state and prepares the monthly transmittals for those funds, and serves as the purchasing agent.

QUALIFICATIONS

Bachelor’s degree in accounting or finance with two years’ experience in managing cash and other finance-related functions, or equivalent training in financial management and applications, problem solving, conflict management, process improvement, project management, and effective communication. Must have knowledge of spreadsheet programs.

Responsibilities
  • Performs all general clerical functions of the court as may be required or assigned.
  • Provides responsible and complex technical support to the Court Administrator including financial analysis, balancing and reconciliation of financial data
  • Accounts payable processing
  • Assists with processing treatment court grant invoices
  • Acts as purchasing agent for office supplies, forms, and legal publications
  • Receives, distribute, and monitor all NSF checks written to the court
  • Prepares employee reimbursement requests for approval by Court Administrator
  • Assists with annual independent financial audit
  • Prepares general account checks for review and signature of Court Administrator
  • Receives and prepares monthly distribution for restitution payments
  • Coordinates assigned activities with other departments and outside agencies
  • Assists in the preparation and administration of the court’s budget including but not limited to monitoring expenditures and preparing periodic budgetary reports; and directs the processing of financial documents and the preparation of periodic and special reports as directed by the Court Administrator.
  • Oversees the receipt of court funds and maintenance of accounting records and bank deposits, reconciling same
  • Oversees the preparation of the monthly transmittal of court revenue for reporting to the City Treasurer, County Treasurer, Department of Treasury, or other organizations. Reconciles and balances account records to monthly statements
  • Assists with implementation and training staff on new technologies involving financial processes
  • Assists with drafting policy and procedures for the improvement of the financial systems and processes of the Court
  • Assigns, directs, reviews the work of specified staff as directed by the Court Administrator
  • Must be able to work independently or as part of a team
  • Performs other related duties as assigned.
