Description JOB DESCRIPTION Title: Fiscal Assistant Reports to: Fiscal Manager Program: Fiscal Department Effective Date: Job Classification: Non-Exempt Hire Date: Job Summary: The Fiscal Assistant is responsible for supporting the financial operations of the organization by performing a variety of accounting, bookkeeping, and administrative tasks. This role involves processing invoices, maintaining accurate financial records, assisting with budget tracking, and supporting monthly reconciliations. The ideal candidate will have strong attention to detail, basic accounting knowledge, and the ability to work independently as well as part of a team. This position ensures timely and accurate data entry and contributes to the overall efficiency and compliance of the finance department. Duties/Responsibilities: Enter payroll data into the allocation spreadsheet accurately and in a timely manner. Review M&T Treasury account transactions for accuracy, discrepancies, or irregularities. Process vendor bills through Bill.com, ensuring correct coding, approvals, and documentation. Record and enter deposit transactions into Intacct, ensuring proper account allocation. Prepare physical cash deposits for the bank, ensuring proper endorsement, documentation, and security. Perform monthly bank reconciliations to verify consistency between bank statements and internal records and identify and resolve discrepancies. Other duties assigned by manager Requirements Required Skills/Abilities: Technical Proficiency: Skilled in using calculators and telephones for daily tasks. Organizational Skills: Demonstrates the ability to work efficiently, effectively, and in an organized manner. Team Collaboration: Capable of working effectively with others to achieve common goals. Problem-Solving: Exhibits strong problem-solving and critical thinking abilities. Communication Skills: Mastery of the English language with very good oral and written communication skills. Mathematical Competence: Proficient in basic math operations: addition, subtraction, multiplication, and division. Software Knowledge: Familiarity with PROMISE and Citrix software is helpful. Social Work Principles: Understanding of basic principles of social work. Computer Literacy: Proficient in typical office computer software applications. Instructional Ability: Ability to educate others effectively. Interpersonal Skills: Possesses interpersonal skills that put people at ease. Networking: Able to network with professionals from other organizations in the best interests of the client and The Arc of York and Adams Counties. Information Integration: Capable of obtaining and integrating bits of information effectively. Coordination: Skilled in coordinating multiple efforts to achieve objectives. Time Management: Exhibits strong time management skills to meet deadlines. Confidentiality: Maintains confidentiality in all aspects of the role. Physical Requirements: Skills/Requirements to perform tasks may include but not limited to: Must be able to lift and/or move items weighing up to 15 pounds. Frequently required to stand, sit, walk, bend, twist, reach, and lift or carry objects. Regular use of hands and fingers to handle, grasp, or feel; ability to reach with arms at, above, or below waist level. Must be capable of pushing, pulling, lifting, and carrying items as needed. Ability to stoop, squat, kneel, crouch, and crawl as part of routine tasks. Constant ability to communicate verbally, hear, and perceive smells and tastes as required by the role. Specific visual abilities required include close vision, color perception, and the ability to adjust focus. Must be able to work in varying outdoor conditions including exposure to sun, rain, heat, cold, snow, dust, and fumes. The noise level in the work environment is typically consistent with a standard office setting, ranging from low to moderate. Education/Experience: Minimum: High school diploma or GED required. Preferred: At least six (6) months of experience in billing or related administrative/accounting work.
