Position Description
POSITION SUMMARY
San Diego State University is seeking a highly skilled and detail-oriented Fiscal Contracts Analyst & Project Coordinator to join our team. Under the direction of the Associate Director of Division Care, this role will play a critical part in overseeing the financial logistics and budget monitoring of various projects, including multimillion-dollar Major Capital Outlay construction projects.
DEPARTMENT SUMMARY
The Business & Financial Affairs Division Care (shared services) unit is responsible for providing the division with efficient, effective and customer-friendly consultation and support by facilitating financial, procure-to-pay, position management and other related administrative transactions on behalf of BFA departments. BFA Division Care is comprised of a project-focused team and an operations-focused team; the project team provides financial and procure-to-pay support for facilities and construction projects; the operations team provides operational (non-project) financial, procure-to-pay, position management and other related administrative transactional support to department and divisional management.

EDUCATION AND EXPERIENCE
Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor’s degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
KEY QUALIFICATIONS
- Experience administering and reconciling multiple fund accounts tied to project expenditures.
- Experience in multi-fund management and accounting.
- Familiarity with general accounting practices, financial transactions, and record keeping.
- Competency in MS Excel data entry, including linked workbooks and complex balance sheets.
- Competency in MS Word or equivalent word processing.
- General knowledge of construction bidding and contracting process.
- Ability to work independently to accomplish multiple tasks on schedule.
- Demonstrated willingness to act with initiative and to proactively identify upcoming issues and tasks, and to make recommendations on the same as necessary.
- Ability and willingness to learn and assume varied tasks in a multi-functional office.
- Ability to cooperate in general office practices including telephone protocol, correspondence, and reception.
- Education and experience in project management is preferred.
Responsibilities:
- Contracts Administration and Project Management: Assist in managing the financial logistics and monitoring budgets for multiple, concurrent projects.
- Complex Contract Management: Handle highly complex and customized contracts for CSU Public Works Projects and Specialty Service and Maintenance Contracts.
- Budget Monitoring: Ensure accurate tracking and reporting of project budgets, facilitating successful project completion and financial accountability.
