FLEET ADMIN

As the Fleet Administrator you will handle vehicle records, scheduling maintenance, tracking compliance, and coordinating repairs or replacements. You will also be responsible supporting driver files and communication with vendors. The role reports directly to the Fleet Manager.

Responsibilities
  • Coordinate and communicate equipment moves with
  • Update equipment locations in HCSS Dispatcher.
  • Maintain equipment
  • Update the Asset Management Board daily/weekly.
  • Acquire permits for hauling loads as
  • Enter Job Information and location data into HCSS E360 prior to scheduling
  • Communicate job related information with the Service Manager on equipment returning to the
  • Review and/or approve invoices for third party hauling and wrecker services as
  • Work with the Controller to calculate and file quarterly IFTA
  • Additional tasks as assigned by the Fleet
  • Assist Fleet Manager with any rental equipment.
  • Hiring and onboarding of all CDL drivers.
  • Review and approve all driver timecards.
  • Responsible for reviewing eLog reports and conducts routine training on proper inspection documentation.
  • Creates and maintains geofencing in HCSS Dispatcher.
  • Sort and maintain Parts Dept. Inventory all parts incoming and outgoing under the guidance of the service manager.
  • Maintain constant inventory of grinder wear parts for replacement when needed.
  • Ensure there is sufficient stock of sharpened chipper knives to Babbitt when required.
  • Maintain and manage Truck/Trailer inventory (i.e. what is in the yard, location of keys, etc.)
  • Help facilitate the Renting and Purchasing of Equipment, Trucks, Trailers, etc.
