Description Miller Environmental Group Fleet Administrator - Branch Operations Support Location: Charlotte, NC Job Type: Full Time Overview: Miller Environmental Group (MEG) is seeking a Fleet Administrator, responsible for managing and maintaining the company’s vehicle fleet to ensure operational efficiency, compliance with regulations, and cost-effectiveness. This role involves coordinating vehicle acquisition, maintenance, insurance, and documentation while supporting drivers and internal teams. Why Work for Miller Environmental Group? Compensation & Benefits: Starting pay: $22/hour+, depending on experience Medical, dental, and vision coverage beginning the first day of the month following hire 401(k) with dollar-for-dollar company match up to 4% 15 paid days off annually (which increases each year of service) plus 10 paid holidays Company-paid life insurance Long-term career growth with a company that promotes from within and invests in its people Key Responsibilities: Fleet Management: Maintain accurate records of all company vehicles, schedule and track maintenance, inspections, and repairs, and monitor fuel usage and fleet performance. Compliance & Documentation: Ensure vehicles meet legal and regulatory requirements, manage insurance policies, and prepare reports on fleet costs and utilization. Driver Qualification & File Management: Maintain complete and accurate driver qualification files, track license renewals and medical certifications, and conduct periodic audits. Drug & Alcohol Program Administration: Coordinate pre-employment, random, and post-accident drug and alcohol testing, maintain confidential records, and perform regular audits of program compliance. Vendor & Driver Coordination: Liaise with service providers and support drivers with assignments and compliance training. Cost Control: Monitor and manage fleet expenses and identify opportunities for cost savings. Technology & Systems: Utilize fleet management software and implement telematics solutions for optimization. Qualifications & Skills: High school diploma or equivalent; Associate or Bachelor’s degree in Business, Logistics, or related field preferred. 2+ years in fleet administration, logistics, or transportation management; familiarity with fleet management systems and telematics. Strong organizational and multitasking abilities Excellent communication and negotiation skills Proficiency in MS Office and fleet management software. Understanding of vehicle maintenance and regulatory compliance. Drug & Alcohol Audits: Conduct periodic audits of drug and alcohol testing records to ensure compliance with DOT and company policies. Verify that all required documentation is complete, accurate, and securely maintained. Ensure confidentiality of all audit findings and sensitive information. Prepare detailed audit reports and present findings to management for corrective actions. Monitor corrective measures and follow-up on compliance gaps identified during audits. Third-Party Audit Coordination: Coordinate with external auditors to schedule and facilitate third-party audits. Prepare and organize all required documentation for external reviews. Ensure compliance with DOT and company standards during third-party audits. Act as the primary point of contact for external audit teams and respond to inquiries promptly. Implement corrective actions and process improvements based on third-party audit findings.
