Culy Contracting is looking for a sharp, motivated Fleet Administrator / DOT Manager in Winchester, IN to take charge of our vehicle program and help keep our crews moving — safely and efficiently.

WHAT WE NEED:

• High school diploma or equivalent (associate degree in business is a plus).
• Prior experience in fleet management or a similar DOT-regulated environment.
• Well-versed in the regulatory requirements governing fleet operations and safety.
• Communicate clearly, organizes effectively, and brings a positive, solutions-first attitude.
• Familiar with fleet management software and tools.
• Serve as a backup for the company phone when needed.

• Coordinates vehicle registration, insurance, and licensing, including IFTA, 2290, and IRP, to ensure full compliance.
• Develops and maintains fleet safety policies to protect drivers and meet DOT requirements.
• Manages driver qualification files, tracks hours-of-service, and handles DOT tickets and reporting.
• Assists with purchasing and selling vehicles and equipment through the CARS system.
• Oversees WEX fuel cards, including ordering, receipt tracking, fuel reporting, and invoice reconciliation.
• Secures oversize permits as needed to ensure the legal and safe transport of heavy equipment across state and local routes.
• Conducts daily reviews of GPS Insight data to monitor hours-of-service activity and proactively schedule vehicle maintenance.
• Prepares and reconciles monthly intercompany fuel billing, ensuring accuracy and timely processing across departments.
• Maintains AVI compliance schedules and verifies that all related documentation is up to date and audit-ready.
• Updates fuel island user access and inventory records twice each month to reflect staffing and equipment changes.
