What You’ll Do Reporting to the Fleet Manager, the Fleet Administrator is a key member of the fleet operations team. This role is responsible for coordinating, scheduling, managing fleet documentation, preparing reports, and accurately creating and issuing purchase orders. The successful candidate will review daily and monthly vehicle and equipment inspections, generate work order tickets, oversee all company fuel card activities, and assist in scheduling building maintenance activities with efficiency and attention to detail. Responsibilities The responsibilities include, but may not be limited to: Create fleet and facilities purchase orders, ensuring all accurate coding, tracking and vendors reconciliation. Process vehicle titles, registrations, tag and weight‑sticker renewals, and annual permit applications. Schedule and track all required vehicle and equipment inspections and certifications, including NDT, CVIP, DOT, smog tests, cranes quarterly boom inspections, dielectric testing, and other regulatory requirements. Administer company fuel card programs (Petro, Shell, Irving, Chevron, and FC Fuels), including card issuance and termination, PIN assignment, and portal reconciliation Maintain detailed fleet records, maintenance histories, compliance documentation, preventative maintenance trackers, Fleet SharePoint directories and Viewpoint PM schedules to ensure regulatory fleet compliance locally, provincially, and nationally Review monthly vehicle and daily equipment inspections in SiteDocs, identify defects, and coordinate timely maintenance and repairs Audit drivers’ Hours of Service (HOS) logbooks, resolve violations, and provide guidance to ensure regulatory compliance. Manage Verizon and Fleet Complete GPS portals, including reconciliation, reporting, and coordination of installation and removals. Prepare and submit daily timesheets for mechanics and periodic fleet reports, including fuel usage, vehicle idling, GPS activity, and inspection compliance metrics to support operational monitoring. Coordinate fleet rental vehicles and liaise with insurance providers to ensure accurate coverage during rental periods. Educate employees on fleet policies, safety standards, and procedures to ensure regulatory compliance and safe operations. Support facility repairs, inspections, and maintenance scheduling, and provide administrative assistance to the Fleet Manager and fleet operations team as required. What You'll Bring Two-year diploma in Business Administration or a related field required Minimum two years of administrative experience in a construction, transportation, or fleet environment is preferred. Strong understanding of permits, vehicle inspections, regulatory compliance, and documentation standards. Experience creating, managing, and processing purchase orders High proficiency in MS Outlook, MS Word, MS Excel, and the general business technology Excellent organizational and time-management skills with the ability to manage multiple assignments and competing priorities with tight timelines. Ability to communicate effectively, both verbally and in writing, with internal teams, external service providers, stakeholders, and co-workers.
