POSITION SUMMARY

The Fleet Assistant supports the transportation operations of Pioneer Center. This role plays a key part in ensuring the safe, efficient, and compliant operation of the agency’s vehicle fleet, directly contributing to the accessibility and quality of care for the people we serve.
Working under the direction of the Fleet/Vehicle Coordinator, the Fleet Assistant helps manage day-to-day fleet operations, including vehicle maintenance scheduling, record-keeping, inspections, and coordination with drivers and service vendors. This position requires strong organizational skills, attention to detail, and a commitment to safety and service excellence. The ideal candidate is proactive, dependable, and passionate about supporting individuals with disabilities through behind-the-scenes operational support.

SKILLS & ABILITIES

Education:
High School Graduate or General Education Degree (GED): Required
Associates Degree, General Business – Preferred.
Experience:
3 plus years of experience in job related field preferred
Vehicle scheduling, transportation, customer service experience: preferred
Computer Skills:
2 plus years Vehicle Tracking System knowledge and use experience preferred .
Intermediate to advanced knowledge of Microsoft Office, Excel, Outlook

Ability to pass agency driver training and ability to drive all agency vehicles.
Ability to use phone, fax, copier and mail machine 

WORK ENVIRONMENT

Noisy and very busy office environment. Frequent interaction with any stakeholder within the agency (i.e., supervisors, co-workers, clients, general public, outside agencies, etc.).

Essential Functions Statement(s)

Fleet Operations:

  • Transport fleet vehicles to local vendors for oil changes and Safety Lane compliance checks.
  • Enter service and repair orders into the Fleet Systems - MyFleetLink and Azuga Tracking.
  • Collect vehicle logs from all drivers at the end of each week.
  • Assist with vehicle spot checks and routine inspections.
  • Support vehicle cleaning and upkeep as needed.
  • Transport fleet vehicles to local vendors for oil changes and Safety Lane compliance checks.
  • Enter service and repair orders into MyFleetLink and Azuga portals.
  • Collect vehicle logs from all drivers at the end of each week.
  • Perform other vehicle-related duties as assigned.

Administrative & Reception Duties:

  • Greet and log visitors at the reception area and connect them with the appropriate staff member.
  • Maintain accurate records of fleet activities and service history.
  • Assist with general administrative tasks as needed.

Inventory & Supplies Management:

  • Monitor and maintain inventory of supplies for Pioneer Central and Pioneer East buildings.
  • Order and restock office and facility supplies as needed.
  • Organize and manage the inventory of Dayton East Building PPE (Personal Protective Equipment) supplies.
