Description POSITION OVERVIEW The Fleet and Yard Manager is responsible for planning, managing and maintaining all company vehicles, landscaping equipment, tools, and yard inventory. This role ensures optimal equipment performance, accurate inventory tracking, and efficient yard operations to support our field crews and business objectives ESSENTIAL RESPONSIBILITIES Fleet Management Maintain and manage company vehicle fleet, including trucks, trailers, and specialty vehicles Schedule and coordinate preventive maintenance, VSI inspections, and repairs with approved vendors Strengthen and build relationships with mechanics, service providers, and vendors Maintain all vehicles to meet safety standards and regulatory requirements; Coordinate and verify fleet washes are scheduled/performed on bi-weekly basis Ensure all vehicles, trailers, and equipment are labeled with proper signage Prepare all new assets for service following checklist\ Prepare/dispose of retired assets Ensure Aspire equipment module is always up to date with assets Equipment Management Oversee maintenance and repair of all landscaping equipment Perform basic equipment maintenance on small equipment: pull cords, PM 2-stroke equipment, troubleshoot problems and provide additional information for mechanic Order parts needed to repair equipment Coordinate with mechanic to ensure maintenance and repairs of machines and equipment not performed in house Implement equipment checkout and return systems for field crews utilizing Aspire equipment module Track equipment condition, usage, and service history Coordinate equipment purchases and replacements as needed Ensure proper storage and winterization of seasonal equipment Work with group leaders to coordinate procurement of rental equipment Inventory Control Manage yard inventory including materials, supplies, parts, and consumables Maintain inventory tracking within Aspire software Conduct regular inventory audits and cycle counts Monitor stock levels and establish reorder points Coordinate with group leaders to maintain optimal inventory levels Reduce waste and minimize inventory shrinkage Yard Operations Organize and maintain clean, safe, and efficient yard layout Oversee daily equipment preparation and crew dispatch operations Ensure proper storage of materials and equipment Implement safety protocols and conduct safety inspections Maintain security of yard facilities and assets Oversee plant deliveries, plant inventories, and plant health care on plant pad including sorting, watering, healing in trees, and organizing for crews to load Ensure hardscape material is clearly labeled for jobs or inventory Coordinate returns on unused materials Perform/coordinate basic building maintenance for all SLG buildings on site Administrative Duties Maintain accurate records and documentation for all assets utilizing equipment module in Aspire Prepare and audit reports on fleet costs, equipment utilization, and inventory levels to maximize equipment utilization Manage budgets for fleet maintenance, repairs, and inventory Process maintenance requests Coordinate with Group Leaders on equipment needs and scheduling Requirements KNOWLEDGE AND EXPERIENCE Required: Three to five years’ experience of the management of fleet, equipment, and/or inventory management Strong mechanical aptitude and understanding of landscaping equipment and vehicles Strong organizational and time management skills Ability to lift 75+ pounds regularly and work primarily in outdoor conditions. Willingness to learn and perform landscaping practices including lighting, irrigation, landscaping, water features, hardscaping, and maintenance as well as snow removal Candidate must be proficient in the use of computers and have a working knowledge of Microsoft Office Products including Word and Excel. Strong oral and written communication skills Candidate must be able to read and write legibly. Candidate must have analytical and problem-solving capabilities. Valid driver’s license with insurable driving record with ability to drive truck and trailer combinations Works as a team member throughout Southern Landscape Group with a positive attitude Preferred: Knowledge of DOT regulations and fleet compliance Experience operating equipment on regular basis (ex. Wheel loader, skid steer, etc. ) Experience with fleet management software Supervisory or team leadership experience CERTIFICATIONS This position requires that the individual to have the following certifications: First/Aid and CPR Class A CDL (within the first year) WORKING CONDITIONS This position is primarily based at our yard facility with work conducted both indoors and outdoors in various weather conditions. The role requires physical activity including walking, standing, bending, and lifting. Standard work hours are Monday through Friday, 6:30 AM – 5:00 PM with weekend availability required during peak season.
