The Fleet Coordinator will manage and coordinate the logistics, maintenance, and administration of the company’s vehicle fleet. This individual will ensure that all vehicles are maintained, serviced, and compliant with safety regulations. The role involves close coordination with drivers, mechanics, and various departments to optimize fleet operations and minimize downtime.

REQUIREMENTS:

  • High school diploma or equivalent (Bachelor’s degree in Logistics, Supply Chain Management, or a related field preferred).
  • Proven experience in fleet management or logistics coordination.
  • Strong knowledge of vehicle maintenance, safety regulations, and logistics planning.
  • Proficiency in fleet management software and GPS tracking systems.
  • Excellent organizational and multitasking skills.
  • Strong communication and problem-solving abilities.

Responsibilities

CORE RESPONSIBILITIES:

  • Schedule and oversee maintenance and repairs for all vehicles.
  • Maintain accurate records of vehicle inspections, maintenance schedules, and repairs.
  • Ensure all vehicles comply with state and federal safety standards and regulations.
  • Assign vehicles and routes to drivers based on operational needs.
  • Monitor vehicle locations, status, and performance via GPS or other tracking systems.
  • Coordinate with drivers to ensure timely deliveries and resolve logistical challenges.
  • Monitor fuel consumption, maintenance costs, and other expenses related to the fleet.
  • Identify areas to reduce costs and improve fuel efficiency.
  • Assist in budgeting and forecasting for fleet-related expenses.
  • Track and report on key performance metrics, including fleet utilization, downtime, and cost-per-mile.
  • Manage vehicle registrations, licensing, and renewals.
  • Maintain records on driver performance and vehicle incidents.
  • Implement and enforce safety protocols for drivers and vehicles.
  • Conduct regular training sessions for drivers on safety procedures.
  • Ensure compliance with Department of Transportation (DOT) and other relevant regulations.
  • Coordinate with internal departments (e.g., dispatch, maintenance, operations) for seamless fleet operations.
  • Work with vendors and suppliers for vehicle parts, fuel, and maintenance services.
  • Support drivers with route planning, trip documentation, and other operational needs.
