We operate with a "no gaps" philosophy—meaning every sample is treated with absolute precision from the moment of collection to the moment of processing.Role OverviewThis is a high-intensity role for a Fleet Coordinator who will serve as the "Command Center" for our logistics. You aren't just managing drivers; you are managing the Chain of Custody. You are responsible for the sample from the second it is collected by a phlebotomist until it is physically scanned into our laboratory.This role requires a "zero-loss" mindset, elite multitasking, and the ability to stay calm while managing complex, real-time logistical puzzles.Key Responsibilities· End-to-End Specimen Accountability: Ensure 100% visibility of every sample. You are responsible for the total count from the point of collection, through transit, until successful delivery and hand-off to the Lab Team.· Real-Time Fleet Orchestration: Monitor couriers and mobile phlebotomists via GPS, ensuring 100% accuracy in pickup schedules and delivery windows.· Dynamic Routing & Dispatch: Build and optimize routes while simultaneously managing "on-demand" pickup requests for our home health services.· Chain of Custody Verification: Cross-check collection devices and specimen counts against manifests. Any discrepancy must be identified and resolved immediately.· Cross-Departmental Synergy: Act as the primary liaison between Sales, CSM, the Lab Team, and Tech to resolve bottlenecks.· SOP Adherence: Maintain rigorous digital logs (mileage, fuel, driver performance) and ensure all actions align strictly with healthcare transportation regulations.Requirements & Qualifications· Experience: 3+ years in high-volume logistics, medical courier dispatch, or supply chain management.· Mental Agility: Exceptional problem-solving skills; must be able to handle "chaos" with a structured, analytical approach.· Precision: Extreme attention to detail—specifically regarding data entry and inventory/sample counting.· Communication: Professional and assertive communication style to manage remote drivers and update internal stakeholders.· Technical Proficiency: Expert-level use of Fleet Management Software and MS Office.Shift, Compensation & Benefits· Shift Details: Night Shift, 6 days a week (rotations may occur based on business needs).· Work Hours: 9 hours total (8 hours work + 1 hour break).· Probation (90 Days): No leaves (paid or unpaid) are permitted during this period.· Post-Probation: 15 days of annual leave (pro-rated).· Monitoring: Teramind productivity software will be installed to evaluate efficiency and workflow integrity.Technical Specifications (Mandatory)Note: MacOS is not compatible with our internal RDS and Teramind systems.· OS: Windows 10 or Windows 11· CPU: Intel i5 10th Gen+ or AMD Ryzen 5 3600+· RAM: 16GB· Storage: 256GB SSD
