POSITION SUMMARY:

Reporting to the Shop Manager, the Fleet Coordinator is responsible for scheduling and tracking company vehicles and equipment, maintaining accurate records, preparing cost and performance reports, and ensuring compliance with Ministry of Transportation (MTO) and Highway Traffic Act requirements. The role requires strong organization, attention to detail, and proficiency in Microsoft Excel and Word.

QUALIFICATIONS

• 3–5 years in fleet coordination, dispatch, or equipment management (construction/heavy equipment experience preferred).
• Advanced skills in Microsoft Excel and Word.
• Ability to produce detailed operational and cost analysis reports
• Strong attention to detail, organization, and ability to manage multiple priorities.
• Excellent communication skills.

• Schedule and track movement of vehicles and heavy equipment to job sites across the GTA.
• Maintain accurate fleet and equipment records (location, usage, availability).
• Monitor preventative maintenance schedules and arrange timely service.
• Prepare and analyze fuel usage, cost-per-hour, and other operational reports.
• Accurately enter, update, and verify fleet data in company systems.
• Ensure compliance with licensing, inspections, permits, and other MTO regulations.
• Support company safety policies across fleet operations.
• Transfer data from multiple formats into digital files.
