REQUIRED QUALIFICATIONS:

· High School Diploma or equivalent.
· Post-Secondary education in business or office administration.
· Minimum 2 years of experience in office administration, including marketing/social media experience.
· Previous experience in a repair shop is preferred.
· Valid G Driver’s licence.
· Willingness to obtain a forklift license.
· Exceptional interpersonal, verbal, and written communication skills, with a strong focus on customer service.
· Ability to take initiative, multi-task, prioritize and manage time effectively.
· Proven ability to own and manage deliverables and deadlines.
· Excellent organizational skills, with keen attention for detail and high level of accuracy.
· A positive and professional attitude and willingness to work collaboratively with all team members and customers.
· Proficient computer skills, including Microsoft Office (Word, Excel, PowerPoint) and other standard business applications.

Responsibilities

· Provide professional and friendly customer service at the retail counter and over the phone.
· Resolve and/or escalate customer concerns and maintain positive customer relations.
· With the guidance and approval of the General Manager, actively participate in parts sales and lead all marketing, advertising and social media campaigns to promote the retail parts store and shop services.
· Provide administrative support to the General Manager and Shop Lead Hand.
· Update and maintain the renewals of any software, licenses and/or DriveON program.
· Responsible for all general administrative duties, including mail, photocopying, answering phones, filing, maintaining supplies for office and lunchroom and organizing special events.
· Assist with parts ordering, parts receiving and inventory.
· Process customer payments using debit or credit machine and provide weekly and monthly settlement print out to accounting.
· Follow up with customers on overdue payments.
· Complete data entry in spreadsheets and databases and provide reports as required.
· Maintain a clean and organized front retail counter, receiving area and parts area.
· Responsible for maintaining all Health & Safety communication, updating the H&S board, and ensuring all regulatory communication is current.
· Ensure that annual safety inspections for fork lifts, lifting devices and tool calibrations are up to date and coordinate the scheduling and documentation of any required inspections.
· Coordinate annual refresher training reminders and follow-ups, assist with practical training.
· Assist with maintaining regulatory requirements, mechanic licenses and records.
· Pick up and deliver parts and/or supplies.
· Provide on-going support and coverage for other administrative positions as required.
· Understand and follow all Health and Safety and Environmental policies and procedures.
· All other duties as assigned.
