Responsibilities

FLEET MAINTENANCE COORDINATOR – ESSENTIAL SUPPORT ROLE FOR A LARGE FLEET OPERATION

We’re seeking an experienced and highly organized Fleet Maintenance Coordinator to oversee and support a fleet of over 2,300 vehicles across the U.S. and Canada. This role is ideal for someone with strong automotive repair knowledge, excellent attention to detail, and the ability to manage repair pricing, timing, and vendor relationships. You’ll play a key role in ensuring vehicles are safe, reliable, and ready for the road — all while delivering top-notch customer service to both internal teams and external partners.
Schedule: Monday–Friday, 8:00 AM – 5:30 PM
Pay: $20 – $24/hour
Location: Kansas City, KS (On-site)

KEY RESPONSIBILITIES:

  • Coordinate and approve vehicle repairs with vendors, ensuring competitive pricing, accurate estimates, and timely completion.
  • Track and manage service orders, purchase orders (POs), and vendor invoices — from opening to closing — with accuracy and attention to detail.
  • Maintain detailed records of all repairs, preventative maintenance, vendor information, and fleet performance data.
  • Communicate effectively with field staff, drivers, and vendors to resolve repair issues quickly and professionally.
  • Oversee vehicle workflow in and out of service, including upfitting, equipment installations, and parts inventory.
  • Issue payments to vendors and maintain financial tracking for fleet-related expenses.
  • Perform data entry and reporting with a high level of accuracy using advanced computer and typing skills.
  • Provide exceptional customer service and maintain a positive, solutions-focused attitude in a high-volume, fast-paced environment.
  • Handle additional fleet-related tasks as assigned.
