Description Position Overview The Fleet Maintenance Specialist is responsible for coordinating maintenance on all Offen Petroleum equipment through the provided maintenance software. This role involves responding to calls and emails from drivers to schedule maintenance or address breakdowns in need of repair. Working closely with Offen’s network of vendors, the Fleet Maintenance Specialist ensures the right repair provider is assigned for each job. Additionally, the Fleet Maintenance Specialist reviews all estimates and invoices from vendors to verify they match requested repairs, forwarding approved invoices to the Accounts Payable department. A key emphasis of this role is working with the Director of Fleet Operations to ensure keeping Offen Petroleum’s equipment compliant with FMCSA and state regulations. Essential Duties and Responsibilities Oversight: Manage vendor work orders, monitor progress on all repairs, and ensure timely completion for efficiency in downtime. Maintain close relationship with 3rd party vendors and ensure work orders are closed and vendors are paid in a timely manner. Quality Control: Inspect completed work orders for accuracy and close work orders upon completion and receipt of invoice. Help drivers troubleshoot mechanical issues and provide guidance to vendor with good detail on requested repairs. Safety & Compliance: Support Director of Fleet operations to enforce company safety policies, FMCSA and State regulations. Maintain clean and accurate files of all compliance documents for all equipment. Administrative Duties: Maintain accurate service records and documentation. Assist in scheduling preventive maintenance and managing downtime. Take phone calls and emails for maintenance requests and vendor communications. Required/Preferred Education & Experience Minimum 2 years of experience in diesel truck knowledge as well as familiarity with FMCSA/DOT regulations. Strong customer service skills. Excellent communication and organizational abilities. Any training or experience in Class 7 and 8 trucks as well as knowledge in fuel tankers is a plus.
