Description

The Parts Clerk is responsible for managing the parts inventory system to ensure that the maintenance department has the materials required to keep buses and vehicles in safe, reliable condition. This role supports mechanics by accurately issuing and assigning parts to work orders, monitoring stock levels, performing regular inventory checks, and maintaining strong relationships with vendors to ensure timely procurement of parts at the best value.

QUALIFICATIONS

  • High school diploma or equivalent required; additional technical or inventory management training preferred.
  • 1–2 years of experience in parts, inventory, or warehouse operations (transportation or fleet maintenance experience preferred).
  • Valid Driver’s License
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to use inventory management systems, spreadsheets, and work order software (Fleetio, Samsara, Microsoft Excel or similar experience is a plus).
  • Strong communication skills and ability to work with vendors and internal staff.
  • Ability to safely lift and move up to 50 pounds as part of normal job duties.
  • Capable of working in a fast paced maintenance environment

Responsibilities

Work Orders & Parts Assignment * Issue and assign parts accurately to maintenance work orders. * Track usage and ensure parts are properly recorded for cost analysis and compliance.
Inventory Management * Maintain and organize inventory of all parts, tools, and supplies. * Conduct regular cycle counts and full inventory audits. * Identify shortages, slow-moving stock, and recommend adjustments.
Vendor Relations & Procurement * Communicate with vendors for pricing, availability, and estimates. * Submit parts estimates and purchase orders for approval. * Build and maintain positive relationships with vendors to secure quality products at competitive pricing.
Administrative & Compliance * Maintain accurate records of parts received, issued, and returned. * Ensure invoices, packing slips, and inventory documentation are properly filed. * Support compliance by aligning inventory and parts usage with DOT, CHP, and company standards.
Facilities & Yard Maintenance * Maintain a clean, safe, and organized bus yard, shop, and storage areas. * Perform general upkeep such as trash and debris removal, sweeping, and weed control. * Conduct light maintenance and repairs to facility structures (painting, signage, basic fixes). * Support safety by ensuring the yard is free of hazards such as screws, nails, and other debris. * Assist with seasonal and routine landscaping as needed.
Collaboration & Support * Work closely with mechanics, supervisors, and the Fleet Maintenance Manager to meet operational needs. * Provide input on cost-saving initiatives and efficiency improvements. * Assist with special projects and provide general support to the Maintenance Department as required.
