Basic Qualifications:

  • Associate degree or equivalent combination of education and related experience in aviation.

Description

ROLE DESCRIPTION:

The Flight Operations Planner is a key member of the aviation operations team supporting global mission planning efforts for the U.S. Department of State, DoS and Bureau of Diplomatic Security, DS under the oversight of the Bureau for International Narcotics and Law Enforcement Affairs Office of Aviation INLA. Responsible for managing and coordinating all aspects of flight bookings, VIP mission planning, cargo requests, and customer service support. The Flight Operations Planner will also manage the coordination and integration of the Worldwide Aviation Support Services, WASS mission schedule and serve as a primary point of contact for inquiries from WASS AAR functional managers, INLA officials, and other authorized contractors and vendors, ensuring seamless communication and operational execution in the chancery at the Baghdad Embassy Compound, BEC.

KEY RESPONSIBILITIES:

  • Book flights, make reservations, and provide accurate information on flight schedules, fares, and policies.
  • Collect and distribute payment information for flights and associated services Handle all customer interactions with professionalism, courtesy, and tact.
  • Provide continuous assistance to customers and passengers throughout their journey, especially during disruptions such as delays or cancellations.
  • Maintain detailed and accurate records of reservations, payments, and customer interactions.
  • Answer questions related to travel itineraries, baggage policies, cargo processes, and other services.
  • Plan and coordinate flight routes, particularly in support of VIP movements, ensuring all operational requirements are met.
  • Ensure all cargo planning and execution align with international, federal, and site-specific aviation regulations and protocols
  • Coordinate cargo bookings for upcoming aircraft schedules.
  • Confirm cargo logistics requirements are being met before booking.
  • Verify documentation in compliance with regulations.
  • Confirm cargo weight, dimensions, and condition through appropriate methods e.g., scales, visual inspection, documentation review.
  • Assist customers with shipping details, rates, and applicable regulations.
  • Maintain accurate and timely records of cargo movement.
  • Verify HAZMAT is shipped meeting IATA guidelines Review, update, and publish Daily Mission Notifications.
  • Create, modify, and update flight schedules and use FLY-EA-Sky Line Software and GINL MIS.
  • Attend and participate in Mission Meetings to ensure proper planning and execution.
  • Complete daily reports, send inquiries to the sites for required changes, submit reports in accordance with organizational policies, and complete quality assurance validation checklists. \
  • Coordinate support services customer requests to enhance mission performance.
  • Communicate clearly and effectively in both written and verbal formats, in individual and group settings.
  • Collaborate effectively with team members and other departments.
  • Provide mission updates to the Department of State, DOS and AAR Management as required.
  • Maintain a US Secret security clearance and valid US passport.
  • Deploy and operate under austere conditions as required.
  • Perform other duties as assigned.
