Position Summary The Floating Administrative Assistant provides flexible administrative support across multiple departments and teams, ensuring smooth day-to-day operations. This role includes managing meeting logistics, coordinating catering services, and assisting with general office tasks. The ideal candidate is highly adaptable, detail-oriented, and thrives in a dynamic environment. Key Responsibilities Administrative Support: · Provide coverage for administrative tasks across departments as needed. · Manage calendars, schedule meetings, and prepare meeting materials. · Assist with travel arrangements, expense reporting, and document preparation. Meeting & Event Coordination: · Organize meeting logistics, including room reservations and technology setup. · Act as point of contact for catering requests, ensuring timely and accurate service. · Confirm headcount, dietary needs, and vendor coordination for catered events. Vendor & Budget Management: · Maintain relationships with approved catering vendors. · Track catering expenses and reconcile invoices in compliance with budget guidelines. Office Operations: · Support reception duties when required. · Assist with supply ordering and inventory management. · Ensure compliance with health, safety, and sanitation standards during events. Qualifications Education: High school diploma required. Associate or Bachelor’s degree preferred. Experience: · 2+ years in administrative support or office coordination. · Experience with event or catering coordination is a plus. Skills: · Strong organizational and multitasking abilities. · Excellent communication and interpersonal skills. · Proficiency in Microsoft Office Suite and scheduling tools. Preferred Attributes · Ability to adapt quickly to changing priorities. · Customer-service mindset with attention to detail. · Familiarity with corporate meeting logistics and vendor management. Job Type & Location This is a Contract position based out of Chicago, IL. Pay and Benefits The pay range for this position is $25.00 - $28.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
