Job Description
Summary of Resposibilties:
- Consistently offer professional, friendly and engaging service as the main point of contact for Food & Beverage, directing phone calls, emails and acting as an ambassador and administrator to provide timely and professional response with the aim of exceeding expectations of our colleagues, guests and leaders
- Responsible for communicating daily Food & Beverage business levels, trends, groups in house, local events, holiday offerings, daily specials and more
- Ensure clear and effective communication between the F&B leadership team, Catering and Sales department & Executive Office for all information related to colleague and guest needs & human resources information
- Assist with recruitment by pre-screening candidates
- Maintain & purchase inventory of office items including, printers & computers and operational needs such as smallwares through our internal ordering system (Birchstreet)
- Assist in monthly & yearly inventory for Restaurants, Banquet, Culinary and Stewarding
- Maintain Colleague Communication boards to provide up to date and relevant information at all times
- Process digital photographs and prepare posters, flyers and other internal documents
- Report Engineering maintenance requests through the Royal Service System for Restaurants, In Room Dining, Banquet, Culinary and Stewarding
- Review and file monthly EHC records. Provide feedback to Executive Chef, Chief Steward and Director of F&B where applicable
- Create, update & maintain employee contact list
- Assist with the completion of spot checks and sign off on daily audit controls including void logs and house accounts
- Arrange monthly Colleague communication meeting for ARC, In Room Dining, Banquet, Culinary and Stewarding meetings, record, store & communicate meeting minutes
- Create, edit & print all seasonal menus & applicable changes for F&B outlets
- Champion Open Table online booking System, including special events and large group bookings
- Responsible for scheduling, invoicing & liaising with ARC entertainment
- Manage all large party bookings, buyouts Seasonal and Holiday events for ARC Restaurant by leveraging internal booking systems such as Sertifi & OpenTable and effectively communicating with internal and external stakeholders including clients, leaders, Culinary & Stewarding teams
- Assist Leadership in creating, tracking, scheduling and approving Vacations, sick call coverage and communicating with colleagues in relation to schedule changes
- Payroll Management from daily administration to Watson scheduling & bi-weekly submission with accuracy and strong attention to detail
- Leverage internal and external ordering programs to complete food ordering, this may also require sourcing where applicable
- Other duties as assigned
Qualifications
- Passionate Food & Beverage Professional with a minimum of one year of Food & Beverage experience in a Supervisory role is an asset
- Highly organized and detail-oriented individual, able to prioritize multiple tasks and meet deadlines in a fast-paced environment
- Professional, friendly engaging service-focused individual with excellent phone manner
- Previous experience in an administrative role required
- One year of experience in a coordinator, sales or administrative role is preferred
- Discreet and professional, with the ability to manage confidential information
- Excellent communication and interpersonal skills, both verbal and written
- Strong computer proficiency including Microsoft Office Suite
- Experience with Indesign an asset
- College or University education in Hospitality, Administration or Communication or equivalent relative experience an asset
