Invoicing / Project Administrator - Foundation Excavation Division Kidco is seeking a highly motivated individual to join our Foundations Excavation team as an Invoicing / Project Administrator.  This position serves as the crucial link between the office and our field operations.  The ideal candidate is a quick learner, enjoys a fast-paced work environment, and is extremely organized.   Your core responsibilities: * Accurately review, validate timesheets and work activities from the worksites, and process invoicing * Coordinate with supervisors to ensure work activities are accurately coded and approved before submission * Invoice clients and update builder portals to ensure invoices match purchase orders * Track builder invoices and purchase orders and resolve discrepancies with clients. * Understand client-specific billing requirements, as each client has unique submission rules and approval processes * Creating and setting up jobs in HeavyJob tracking/costing software * Collecting, tracking, and inputting daily timesheets for subcontractors * Calling and scheduling utility locates for jobsites * Communicating and coordinating activities with multiple builders * Matching vendor invoices with delivery slips * During peak season, supporting grading and loaming projects, including assigning jobs to multiple crews, requesting surveys for jobs, keeping job lists organized and up to date Our ideal candidate has: * Strong attention to detail * Ability to identify, analyze, and resolve complex or unexpected challenges * Self-starter with the ability to work independently, prioritize and get things done * Previous experience in construction, particularly residential construction, is an asset * Exceptional time management and prioritization skills; this job moves quickly, and we need someone who can keep up * Has previous experience in administration or accounting and is adept at invoicing and managing vendor requirements * Excellent data entry abilities * Above average verbal and written communication skills * A team player who can work both independently and as part of a larger team * Post-secondary training in accounting or bookkeeping is considered an asset What we offer you: * Competitive salary, reflective of skill and experience * Full Benefits Package provided by OpenCircle * Enhanced RRSP Matching Program: Contribute to your self-directed RRSP and receive a 100% matching contribution from Kidco, helping you maximize your retirement savings * On-site gym * Paid vacation days, in addition to the annual holiday office closure * Wage increases and annual bonuses for strong performers * Strong commitment to safety in the workplace, including our Safety Excellence program At Kidco Construction, it’s more than a job.
