Description The Front Desk Accounting Clerk is pivotal in managing front desk operations while providing exceptional customer service and support. The ideal candidate will possess strong clerical and administrative skills, prioritize detail orientation, be proficient in Microsoft Excel, and demonstrate a commitment to maintaining an efficient office environment. Essential Roles & Responsibilities Essential roles and responsibilities include, but are not limited to: Greet and assist visitors and members at the front desk with professionalism and courtesy. Manage multi-line phone systems, directing calls appropriately while maintaining excellent phone etiquette. Perform data entry tasks, ensuring accuracy in financial records and customer information. Utilize NorthStar for bookkeeping tasks, including managing member profiles, accounts payable responsibilities, closing days work for the Beach Club and Tennis Club. Maintain organized filing systems for both physical and digital documents. Provide customer support by addressing inquiries and resolving issues promptly. Assist with calendar management, scheduling appointments, and coordinating meetings as needed. Support office management tasks, including ordering supplies and maintaining office equipment. Conduct proofreading of documents to ensure clarity and accuracy before distribution. Collaborate with team members to enhance overall office efficiency and workflow. Manage the mail: open and date stamp all mail delivered to the office, process and keep track of the outgoing mail cost, charging the associations for the appropriate postage, maintain the postage rate updates and monthly postage reports. Separate and write up daily bank deposits for club charges, dues payments, pre-paid tenants, and general ledger. Ensure all renter and tenant duties are complete: DSRE rental commission reports, tenant billing, spreadsheet tracking. Requirements Required Skills & Abilities Proven experience in an office environment, preferably in a front desk or administrative role. Familiarity with accounting software such as QuickBooks is highly desirable. Strong organizational skills with the ability to manage multiple tasks efficiently. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Excellent typing skills with attention to detail for data entry tasks. Must be at least 18 years of age. Must possess reasonable ability to communicate in English. Must have employment eligibility in the United States. Physical & Mental Demands Must be able to move 25 pounds on an intermittent basis. Must be able to speak, hear and see. Must be able to sit for an extended period of time. This position will require pre-employment drug testing and satisfactory results of a criminal history background check.
