  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal skills, with a friendly and professional demeanour.
  • Ability to maintain confidentiality and handle sensitive client information.
  • Prior experience in a front desk or administrative role is an asset, especially in a healthcare or counselling setting.

ROLE OVERVIEW:

We are seeking a friendly, detail-oriented, and bilingual (Cantonese, Mandarin and English) Front Desk/Receptionist to join our team. As the first point of contact for our clients, you will play a vital role in providing excellent customer service while supporting the clinic’s administrative needs. KEY RESPONSIBILITIES:

  • Greet clients warmly and assist with check-ins and appointment scheduling.
  • Match new clients with the best-fit counselor based on their needs and preferences, and successfully book appointments.
  • Handle email communication and respond to client inquiries promptly.
  • Handle inquiries from counsellors regarding scheduling, client details, and other administrative matters.
  • Manage client records and appointment bookings using JaneApp.
  • Ensure the front desk and waiting area are organized and welcoming.
  • Provide additional administrative support as needed to ensure smooth clinic operations.
  • Be flexible and adaptable, able to respond quickly to unexpected situations and make adjustments as needed to ensure smooth clinic operations.
