The Bozeman Area Chamber of Commerce (BACC) is looking for a person to fill the permanent Front Desk reception and Visitor Information Center position. With over 1,200 members, the BACC is a well-recognized non-profit and a major hub in the Gallatin Valley for tourism and economic vitality. The Chamber is dedicated to supporting Chamber members and plays a major role in driving tourism to the area. The Front Desk Associate is a representative of the Chamber, and through that, a representative of the Bozeman community. Thus, it is essential to present the position positively and professionally. The BACC office is also the Bozeman Visitor Information Center. The Front Desk Associate must be familiar with the Gallatin Valley area and with what the BACC does to improve it.
REQUIREMENTS:
· Proficient with MS WORD, Excel, and Outlook
· Experience with any database software program to be able to quickly learn how to use ChamberMaster
· Local knowledge and experience to supplement the written material in the Visitor Info Center
· Map reading skills to orient visitors, especially those who do not use GPS apps
· Friendly, loyal, and reliable team player with skills in problem-solving and finding information
· Available to open the building as early as 7:15 am and always be on time to work
· Be able to multi-task to handle a varying workload varying extensively
· Self-motivated and a self-starter who can see tasks needing to be done and require little supervision to complete them
Supervisor: This position reports primarily to the CEO, as well as the Director of Sales and Membership Operations and the Director of Tourism and Sales. Will work directly with executive assistant to carry out day-to-day functions.

DUTIES:
· Greet and provide customer service for all visitors to the Chamber including BACC members, potential members, visitors looking for tourism information, and the general public
o Use maps to help visitors plan their time in the area
o Be familiar with the operations of BACC tourism members
o Research to answer questions using ChamberMaster (BACC’s database), the Chamber website, and Googling to assist folks, some of whom do not use the Internet
· Manage BACC’s main phone line and the Info@ e-mail account
· Manage the entry-way bulletin boards to ensure appropriate press releases and event announcements are posted and current. Keep the outside reader board up-to-date
· Manage distribution of BACC’s Visitor Guide and Chamber map
· Organize and keep the BACC member rack card and business card displays current
· Order and manage inventory of tourism materials and keep the Visitor Information Center organized, clean, and well-stocked
· Order and maintain the office, cleaning, and kitchen supplies inventory
· Use ChamberMaster and Excel for multiple tasks including running and formatting reports
· Use MS WORD for document creation
o Assist Directors of Sales with membership-related mailings and maintain inventory of current membership packets for potential members
· Use MS Outlook for managing info@ e-mail account, tracking team members activities, and scheduling the use of the conference rooms
· Manage incoming and outgoing mail promptly
o Mail out tourism information daily as requested via Hubspot, phone, and e-mail
· Work with BACC team for the setup, breakdown, and clean-up of events held in the BACC building
· Other administrative tasks as assigned
RESPONSIBILITIES:
· Schedule will vary so weekly hours will be between 33 and 36-1/4 per week. Must be available to open/close the building according to the following schedule:
- Monday and Tuesday: 9:00 AM – 4:00 PM
- Wednesday and Thursday: 7:45 AM – 4:00 PM
- Friday: 7:15 AM – 2:00 PM
· Provide information, materials, and services to members, the public, and visitors
· Represent BACC in a professional manner by being welcoming, hospitable, and patient in speaking with the diverse scale of members, visitors, and callers
· Facilitate the flow of communication between fellow Chamber team members
