This position requires strong interpersonal, organizational, and communication skills. Also required are a high level of attention to detail and the ability to remain focused for extended periods of time Excellent computer and analytical skills are essential. This job entails receiving, processing and routing incoming electronic correspondence. A successful candidate must be able to work in a fast-paced group environment, prioritize, handle fluctuating workloads, be self-motivated, and work independently without oversight.

General responsibilities may include but are not limited to:

  • Welcome visitors by greeting them in person, on the phone, or by email.
  • Contact the proper person to escort the visitors from the lobby area.
  • Maintain a multi-line telecommunications system to include screening and transferring calls promptly and professionally.
  • Provide timely and professional customer service to internal and external contacts
  • Review electronic correspondence, records, and reports.
  • Review and maintain all department and branch calendars and conference room assignments.
  • Examine incoming mail to determine proper placement in the database or in-person distribution.
  • Facilitate the delivery of outgoing mail, ensuring the proper delivery method (certified, special delivery, FedEx, or USPS) with tracking information.
  • Ensure all insurance letters are processed promptly and correctly and determine whether they need to be sent certified or require proof of mailing.
  • Comply with company standards for timeliness, quality, professionalism, and accuracy.
  • Accurately clear and reserve quote submissions for the underwriting team.
  • Coordinate data collection from the point of origin and request additional information if needed.
  • Continuously monitor and maintain incoming guests, the lobby, conference room, and board room conditions.
  • Provide timely and professional customer service to internal and external contacts to facilitate the processing of business. Comply with standards for timeliness, quality, professionalism and accuracy.
  • Review electronic correspondence, records, reports, and research related files.
  • Accurately clear and reserve quote submissions for the underwriting team.
  • Coordinate the collection of data from point of origin; participate in the preprocessing of data to locate missing information and to make corrections as necessary.
  • Maintenance of files within the paperless system, i.e. merging, relating, and labeling files.
