We’re seeking a Front Desk Coordinator / Accounting Assistant who brings a warm, professional presence and thrives in the details of construction administration, especially Accounts Payable. If you’re a proactive, organized multitasker who loves keeping an office running smoothly, we’d love to meet you.

QUALIFICATIONS

  • Previous experience in a construction office preferred
  • Solid understanding of construction Accounts Payable workflows (coding, lien waivers, invoices) preferred
  • Friendly, polished communication skills—written and verbal - required
  • Proficient in Microsoft Office (Outlook, Excel, Word) and construction software (Procore or similar) a plus
  • Strong attention to detail and ability to juggle multiple tasks
  • Self-starter with “office manager energy”—you notice what needs to be done and make it happen
    Job Type: Part-time
    Expected hours: 25 – 30 per week

Responsibilities
  • Greet visitors and answer incoming calls with professionalism and a positive attitude
  • Manage mail, deliveries, and office supplies
  • Assist with Accounts Payable duties specific to construction: lien waivers, vendor and subcontractor invoices, check runs, etc.
  • Coordinate vendor communication and paperwork compliance
  • Support project managers with administrative tasks and document management
  • Help maintain a clean, organized, and efficient office environment
