Description Job Summary: The Front Desk Coordinator serves as the first point of contact for the corporate office, providing professional administrative and operational support. This role is responsible for managing incoming communications, coordinating mail and shipments, maintaining inventory of marketing materials, and supporting daily office needs to ensure smooth operations across departments and clinic locations. Qualifications/Educational Requirements: High school diploma or equivalent (Associate’s degree preferred) Administrative, receptionist, or office support experience preferred Strong organizational and multitasking skills Excellent verbal and written communication skills Proficiency in Microsoft Office (Outlook, Word, Excel) Ability to work independently and handle multiple priorities Customer service-oriented mindset with a friendly and professional demeanor Attention to detail Reliability and dependability Strong communication and interpersonal skills Problem-solving and adaptability Team collaboration Responsibilities/essential functions: The person in this position must be able to perform the following essential job functions with or without reasonable accommodations. Front Desk & Communication Answer and direct incoming phone calls in a professional and courteous manner Greet and assist visitors, vendors, and staff Manage general inquiries and route messages to appropriate departments Mail & Shipping Coordination Receive, sort, and distribute incoming mail and packages to the appropriate departments Prepare and ship materials and supplies to clinic locations as needed Coordinate with shipping vendors and track outgoing deliveries Inventory & Materials Management Maintain inventory of marketing materials, office supplies, and other corporate resources Monitor stock levels and reorder materials as needed Ensure clinics receive timely shipments of required materials Administrative Support Provide general administrative assistance to corporate team members Support special projects and cross-functional initiatives as needed Help maintain organized office systems and filing processes Office Operations Assist in maintaining a professional, clean, and organized front office environment Support day-to-day operational needs of the corporate office Perform other duties as assigned to support business operations Work Environment: Based in a corporate office setting Regular business hours with occasional additional support needs Frequent interaction with internal teams and clinic locations
